About The Position

Capital Medical Group, a newly acquired physician practice group within Independence Physician Management (IPM), a subsidiary of UHS, is seeking an experienced and compassionate Administrative Assistant to support its Surgery ENT practice. The role involves providing high-quality clinical and administrative support to patients and providers. Capital Medical Group's mission is to provide personalized, innovative, equitable, and high-quality care. As a large multi-specialty physician practice, it supports over 50 medical and surgical specialties across various locations. The Administrative Assistant – Surgery / ENT performs a variety of administrative and secretarial duties in support of assigned physician(s) and the delivery of patient care.

Requirements

  • High school diploma or equivalent required
  • Minimum of three (3) years of administrative experience in a healthcare setting required.
  • Experience with patient scheduling, medical records, insurance authorizations, and referrals required.
  • Strong organizational, communication, and computer skills required.
  • Knowledge of medical terminology required

  • Surgical scheduling or physician practice experience preferred.

Responsibilities

  • Schedule patient appointments, surgical procedures, and coordinate cases across multiple facilities.
  • Coordinate pre- and post-operative requirements, including clearances, testing, referrals, records, and patient instructions.
  • Obtain and maintain medical records, diagnostic results, and surgical documentation.
  • Manage patient calls, correspondence, medical records requests, faxes, and other incoming documentation.
  • Verify patient demographics, insurance benefits, and surgical information.
  • Coordinate surgical authorizations, referrals, pre-certifications, and workers’ compensation approvals.
  • Communicate with physicians, hospitals, referring providers, insurance carriers, and patients to coordinate care.
  • Assist with FMLA/disability paperwork and physician administrative needs.
  • Track physician licenses and credentials and coordinate meetings as needed.
  • Maintain patient confidentiality and comply with HIPAA and organizational policies.
  • Perform other duties as assigned.
