The Administrative Assistant – Shop provides day-to-day administrative and clerical support for shop and service operations. This role maintains accurate equipment and repair records, supports mechanic timekeeping and work-order processing, coordinates purchasing and invoice documentation, and helps keep shop information current across company systems.

Requirements

  • High school diploma or equivalent required.
  • At least one to two years of office, clerical, or administrative support experience.
  • Proficiency with Microsoft Office, particularly Word, Excel, and Outlook.
  • Strong organizational skills, attention to detail, and comfort working with process-driven tasks and high volumes of documentation.
  • Ability to prioritize multiple assignments, learn new systems quickly, meet deadlines, and remain effective when priorities conflict or work is time-sensitive.
  • Clear verbal and written communication skills, a service-oriented approach, and the ability to work effectively with a range of internal and external partners.
  • Consistent follow-through and the ability to handle information accurately and responsibly.

Nice To Haves

  • Previous experience in a service, shop, fleet, equipment, or related operational environment is preferred
  • working knowledge of SharePoint, Egnyte, Salesforce, Concur, or similar systems is a plus.
  • Bilingual skills are preferred but not required.

Responsibilities

  • Maintain and update the Equipment Repair Status log; perform data entry and document control for service forms, inspection records, photographs, and related shop documentation.
  • Process on-rent and off-rent inspections and associated photographs; record arrival dates, customers, yard locations, inspection dates, and other required information.
  • Open, update, and close repair work orders and maintain supporting documentation in applicable company systems.
  • Review shop mechanics’ timecards for accurate hours and coding; correct entries as needed, route them for supervisor approval, and complete required system approvals.
  • Review and correct per diem and reimbursement requests in Concur, code credit-card charges, and maintain supporting documentation for shop and service expenses, as assigned.
  • Process parts orders for rough-terrain and crawler crane mechanics, as needed.
  • Create and maintain purchase orders; coordinate with shop leadership, Accounts Payable, and Procurement to support receipt, invoice matching, issue resolution, and timely vendor payment.
  • Compare shop or yard inventory records with internal systems and help correct discrepancies so equipment and parts information remains current.
  • Communicate professionally with employees, vendors, and internal departments; provide additional clerical support to the Service Manager and Shop Foreman and perform other duties as assigned.
