About The Position

A dynamic and growing architectural firm seeks an energetic and proactive individual to provide Administrative support for the day-to-day office operations across CUBE 3’s offices in North Andover, Boston, Miami, Princeton and San Diego. This position plays a key role in supporting multiple departments and providing support to the company CEO. The ideal candidate is detail-oriented, proactive, and comfortable working in a fast-paced, multitasking environment.

Requirements

  • 2+ years of relevant administrative or office management experience
  • Associate’s or Bachelor’s degree preferred
  • Facilities experience a plus
  • Strong computer skills, including Microsoft Office
  • Must have a valid driver's license and reliable transportation
  • Able and have the desire to work in the office 40 hours per week

Responsibilities

  • Greet visitors and manage all incoming calls with professionalism
  • Handle all incoming/outgoing mail and shipping
  • Coordinate catering or food delivery for meetings
  • Maintain and coordinate monthly employee social activities
  • Schedule and maintain conference rooms and basic IT setup
  • Oversee office organization, supply inventory, and vendor relationships
  • Coordinate maintenance, repairs, and facility service needs
  • Support satellite office needs and conduct occasional local errands
  • Manage office equipment check-in/out process
  • Provide administrative support to the CEO (filing, correspondence)
  • Assist HR and Finance with filing, basic reporting, and administrative tasks
  • Help plan company events including the annual holiday party and quarterly meetings
  • Perform general office tasks and special projects as assigned
