About The Position

This full-time Administrative Assistant/ Radiologist Receptionist position is primarily responsible for the oversight and timely management of the Vantage Radiology & Diagnostic Services, PS referring physician call line. It also involves assisting with the management of unexpected or short-term scheduling dilemmas for service sites and radiologists, as well as scheduling patients for diagnostic services and performing other administrative duties. The role is based in the business office in Federal Way. The ideal candidate should have previous administrative and/or scheduling experience.

  • Proficient in complex scheduling, requiring coordination of multiple resources external to EPIC (ensuring pre-requisites are completed such as labs, films, and medical history, appropriate clinical resources are available).
  • Proficiency in using EPIC to gather necessary scheduling information to view scheduling regimens, referrals and patient WQ's or ancillary orders.
  • Reliable attendance and job performance.
  • Excellent organizational and time management skills.
  • Experience with working in and creating Excel spreadsheets (i.e. using formulas, etc).
  • Effective and professional written and verbal communication.
  • Accessibility and responsiveness to referring physicians, clinicians, patients, clients, and administration.
  • Ability to work as a team and independently.

Responsibilities

  • Provide exemplary customer service and customer care, recognizing there is nothing more important than efficient use of physician time.
  • Ensure pleasant collection and transmission of messages.
  • Answer all incoming calls and forward calls to the appropriate subspecialty group or particular radiologist as necessary.
  • Track down the radiologist if the call is of an urgent nature and will immediately affect patient care.
  • Provide assistance in finding adequate coverage if there are changes to the radiologist's schedule or unexpected absences.
  • Communicate to the Administrator any scheduling conflicts or gaps that may arise due to unexpected radiologist absences.
  • Demonstrate ability to work under pressure, critical thinking skills required, use of technology, ability to not get flustered, and project an aura of calm, mature, and professional management of calls.
  • Ability to problem solve and work independently to address radiologist and clinical personnel support requests.
  • Proficient in complex scheduling; requiring coordination of multiple resources external to EPIC; i.e. ensuring pre-requisites are completed (such as labs, films, and medical history), appropriate clinical resources are available.
  • Uses EPIC to gather necessary scheduling information to view scheduling regimens, referrals and patient WQ's or ancillary orders to ensure timely throughput.
  • Perform other duties as assigned.
