About The Position

Keep the Center Running Behind the Scenes. Strong organizations run on strong administrative support and that's where you come in. As an Administrative Assistant, you'll provide the technical and clerical backbone that keeps your department organized, on schedule, and compliant, while lending a hand on special projects and supporting other teams across the Center. This is a role for a detail-oriented multitasker who takes pride in accuracy, communicates clearly, and keeps everything moving the kind of person a whole team comes to rely on. Requirements

  • High School Diploma or equivalent
  • A minimum of three (3) years of secretarial or administrative support experience
  • Computer literacy and proficiency in the Microsoft Office suite

Nice To Haves

  • Degree or certification from an accredited or relevant certified training program or school

Responsibilities

  • Conduct research, prepare statistical reports, and handle information requests.
  • Perform core clerical functions maintaining required documentation, sorting and distributing mail, preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings and make travel arrangements as necessary.
  • Ensure timely submission, logging, and tracking of all Center contract deliverables, requests, reports, and correspondence.
  • Draft, write, and proof correspondence, taking responsibility for the quality of internal and external communications with the Corporate Office, the Department of Labor, and outside organizations.
  • Maintain Job Corps/Company systems and libraries (which may include CIS, OA, CTS, CSSR, SMR, ABRA, MAS200, FMS, eRequester, School Dude, the PRH, JC Program Instructions and Information Notices, Regional directives, and SOPs).
  • Prepare, coordinate, and distribute the Center's weekly newsletter gathering articles and highlights from staff and prepare and distribute meeting minutes.
  • Keep your area organized, clean, safe, and conducive to student and staff success.
  • Follow all integrity guidelines and ensure no manipulation of student data.
  • Produce thorough, timely, accurate work; mentor and model the Career Success Standards; communicate clearly; resolve problems with sound judgment; partner with staff across all departments; and accept direction from the Center Director, Duty Officer, or Shift Manager including other duties as assigned.
