About The Position

Midwest Orthopaedics at Rush (MOR) is seeking an Administrative Assistant to support an orthopedic surgeon specializing in advanced arthroscopy, shoulder replacement, patellofemoral dysfunction, and cartilage restoration. The ideal candidate will possess high standards, excellent communication skills, the ability to take initiative, and prioritize daily tasks. Success in this multifaceted role requires a strong ability to take charge and meet tight deadlines. The position will be based at a combination of clinic locations: Chicago, IL, Oak Brook, IL, and Munster, Indiana.

Requirements

  • Associate’s degree required.
  • Healthcare experience preferred.
  • Strong interpersonal, customer service and communication skills within the team and to patients.
  • Proficient in Microsoft Office, emphasis on word, excel, and outlook.
  • Ability to multitask in a fast-paced environment including problem solving, decision making, strategic thinking, planning, and communication.
  • Leadership.
  • Superior organization skills.
  • Flexible and readily available.
  • Good phone skills--clear, easy to understand, reliable with following up as needed, good conflict-resolution skills to handle possible patient situations.

  • Bachelor's degree from a four-year accredited university/college, preferred.

Responsibilities

  • Serve as a liaison between patients and the physician’s practice.
  • Provide concierge level service to patients, families, referring physicians, and all other parties.
  • Answer all incoming calls, take messages, or transfer calls to appropriate individuals.
  • Organize and prioritize work to ensure projects are completed in a timely and efficient manner.
  • Handle budgets and finances.
  • Perform work with accuracy and efficiency.
  • Facilitate incoming & outgoing mail/faxes, workers compensation reports, and clinic notes/letters.
  • Comply with all state and federal laws including HIPAA, ADA, OSHA, and FLSA.
  • Assist staff members in a positive and professional manner to ensure all patients receive the highest quality care.
  • Use computers for various applications, such as database management or word processing.
  • Create, maintain, and enter information into the practice’s databases.
  • Greet visitors or callers, and handle their inquiries or direct them to the appropriate people according to their needs.
  • Clinic scheduling and preparation.
  • Ensure that all assigned patient forms are complete. Chart prep, per clinic protocol.
  • Assist with surgery and post-operative visit scheduling.
  • Work with the clinical staff to complete PT orders, etc. in a timely fashion.
  • Schedule and handle of an independent medical examination email address.
  • Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents, such as attendance records, correspondence, or other material.
  • Schedule and confirm appointments for clients, customers, or supervisors.
  • Travel with the Physician to clinic locations, as required.
  • Assist with the assigned physicians research responsibilities (no research experience or knowledge is required). Schedule research visits, help with budgeting, coordinate research meetings, etc.
  • Complete forms in accordance with company procedures.
