About The Position

Provides administrative support to the Director/Vice President. This support includes maintaining files, maintaining appointment calendar, making all meeting/travel arrangements, taking and preparing minutes, independently creating correspondence, and performing general clerical duties such as filing, copying, answering telephones, distributing mail. Works closely with the VP/Director, Managers and staff members in the performance of all duties required within assigned department. Biomed -The Biomedical Administrative Assistant provides advanced administrative, operational, and compliance support to the Biomedical Engineering department. Plays a key part in department efficiency, regulatory readiness, vendor coordination, and data management. The assistant serves as a central liaison between biomedical leadership, technicians, vendors, and hospital departments, supporting day-to-day operations as well as long-term departmental initiatives.

Requirements

  • High School Diploma or equivalent required
  • Ability to take meeting minutes
  • Typing speed of 55 wpm
  • Advanced Word Processing and Spreadsheet experience required with demonstrated proficiency with Microsoft Word, Microsoft Excel, Microsoft PowerPoint and Microsoft Outlook
  • Knowledge of good grammar, punctuation, proofreading and spelling
  • Ability to compose letters independently
  • Ability to handle multiple tasks and determine priorities
  • Three to five (3-5) years of experience in Health Care Administration or similar office environment
  • Excellent customer service skills
  • Minimum of three (3) years administrative or operational support experience required
  • Experience supporting leadership or managing department-level administrative functions
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
  • Strong organizational, analytical, and multitasking skills
  • Excellent written and verbal communication abilities
  • High level of attention to detail and data accuracy
  • Ability to maintain confidentiality and handle sensitive information
  • Professional demeanor with strong customer service and interpersonal skills
  • Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment

Nice To Haves

  • Bachelors or Associates Degree in related area or equivalent work experience preferred
  • Associate or Bachelor’s degree preferred
  • healthcare or technical environment preferred
  • Experience with CMMS (Computerized Maintenance Management Systems) strongly preferred
