SCOPE OF POSITION: The Administrative Assistant provides administrative and clerical support to the Nursing Department. This position schedules and coordinates internal and external medical appointments for residents, including arranging appropriate transportation, and accompanies residents to occasional off-site appointments as needed. The Administrative Assistant plays an important role in supporting the daily operations of the Nursing Department through a combination of clerical, scheduling, communication, and resident support functions.

Requirements

  • High School Diploma or GED
  • Knowledge of office procedures equivalent to the completion of a one-year certificate from college or technical school or; Three to five years related experience and/or training or equivalent combination of education and experience
  • Must possess and maintain a current, valid, unencumbered New Hampshire Licensed Nursing Assistant (LNA) license
  • CPR / Basic Life Support (BLS) certified

Responsibilities

  • Coordinating medical appointments with providers
  • Arranging transportation
  • Accompanying residents to occasional off-site appointments
  • Assisting with resident mobility as needed
  • Performing general clerical duties
  • Answering and directing phone calls
  • Maintaining and distributing daily census information
  • Maintaining resident/client packets for hospital admissions and physician appointments
  • Maintaining Nursing Department admission and re-admission packets, hospice paperwork, and emergency documentation files
  • Creating monthly mail merges for physician order forms
  • Providing clerical support for the center’s routine orientation program
  • Participating in special projects, survey inspections, Quality Improvement/QAPI programs, required trainings and meetings
  • Supporting Resident Rights, confidentiality, safety, and Infection Control policies and procedures
  • Responding to emergency situations in accordance with facility policies and assisting as necessary
  • Working hours as scheduled based on the requirements of the position and department
