About The Position

Tractor & Equipment Co. is looking for someone who is energetic, organized, proficient in Word, Excel, and PowerPoint with 3+ year’s administrative experience to join our Sales team in Billings, MT. You must be dependable, responsible and able to work at a fast pace. It is important that you display exceptional attention to detail and solid organizational skills. You must also have strong verbal and written communication and interpersonal skills. Self motivated. Meetings & Calendaring - Coordination and scheduling of meetings and conference calls, utilizing Outlook calendar for executives; includes arranging for any catering and document distribution. - Prioritize Outlook calendar items on behalf of professionals, informing them of meeting changes and keeping them on schedule throughout the day. - Schedule internal meetings and conference rooms as necessary. Travel & Expenses - Coordinate all aspects of travel (air, ground, and lodging) - Compose detailed itineraries for all travel and relevant meetings - Organize expense reports Daily & On-going - Answer phones, screen calls, and take messages as appropriate - Source and print meeting or call related documents in timely manner prior to meeting commencement for respective participants. - Maintain document filing electronically and hard copy files in organized, timely manner. - Register professionals for conferences in a timely manner - Provide back-up support to the Receptionist and other assistants, this includes all administrative tasks for each of their primary professionals, including managing inbound calls, preparing documents, coordinating meetings, travel etc.

Requirements

  • 3 - 5+ years of Administrative Assistant experience preferred.
  • Ability to manage time and priorities well in a deadline-driven department.
  • Excellent problem solving capabilities with timely resolution demonstrating an awareness of knowing when to elevate concerns or issues.
  • Extremely detail oriented and proficient in Microsoft Office (Outlook, PowerPoint, Excel, and Word).
  • Valid Driver’s License.
