About The Position

We are hiring immediately for a full time ADMINISTRATIVE ASSISTANT (IT) position. This role is responsible for clerical functions and administrative support of food service programs, with a specific focus on IT-related tasks. The position involves coordinating IT support requests, managing IT equipment inventory, providing administrative support for technology projects, and serving as a communication liaison between IT and various stakeholders.

Requirements

  • Previous administrative experience is required, preferably in an IT environment.

Responsibilities

  • Coordinate and track IT support requests, maintaining accurate records, communicating status updates to users, documenting actions taken, and following up to ensure issues are resolved in a timely manner.
  • Maintain accurate inventory and asset records for IT equipment, including computers, tablets, POS terminals, printers, peripherals, deployments, replacements, transfers, and equipment lifecycle activities.
  • Provide administrative and operational support for technology projects, including equipment deployments, system upgrades, new location openings, replacements, and other departmental initiatives.
  • Assist with the coordination, setup, and distribution of technology equipment, working with IT team members to support the installation, configuration, replacement, and maintenance of devices and peripherals.
  • Serve as a key point of communication between IT, dining managers, campus partners, vendors, and technical support teams, helping coordinate requests, gather necessary information, provide updates, and ensure technology needs are addressed efficiently.
  • Answer telephones and direct inquiries in a professional and client centric manner.
  • Maintain confidential personnel files.
  • Assist management staff in preparing confidential employment and labor relations documents, including but not limited to proposed disciplinary notices.
  • Assist with staffing, including finding staff when employees call out on short notice.
  • Work effectively and maintain good working relationships with co-workers, school personnel, administrators, student's parents and Supervisor.
  • Complete and maintain accurate and up to date records of students eligible for free and reduced priced lunches if applicable.
  • Enter weekly cash sales and meal counts using computer.
  • Perform daily bank deposit reconciliation.
  • Process vendor invoices for payment - using computer, making sure addition is correct and checking item prices against bid specifications, making sure there is no discrepancy in pricing.
  • Perform monthly vendor statement reconciliation.
  • Prepare monthly state claim form for reimbursement.
  • Assist in preparation of end of month financial reports.
  • Attend in-service and/or safety meetings as required.
  • Maintain clean and safe work environment; ability to perform job safely.
  • Performs other duties as assigned.
