Requirements

  • Currently enrolled in or recently graduated from a college program in Business, Accounting, HR, Communications, or a related field.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Ability to maintain confidentiality and handle sensitive information professionally.
  • Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, SharePoint) and willingness to learn new platforms.
  • A proactive, self-motivated approach with attention to detail.

Responsibilities

  • Assist with managing calendars, scheduling meetings, and coordinating appointments
  • Prepare and edit correspondence, reports, and other documents
  • Organize and maintain digital and physical filing systems
  • Answer and direct phone calls or respond to emails as needed
  • Help maintain office supplies inventory and place orders when necessary
  • Assist in setting up meeting rooms and conference calls
  • Support office organization and cleanliness (e.g., organizing files, tidying shared spaces)
  • Input data into spreadsheets, databases, and internal systems
  • Assist in maintaining accurate and up-to-date records and logs
  • Help prepare reports and presentations using Excel, Word, or PowerPoint
  • Support administrative tasks for specific projects (e.g., event planning, research, document compilation)
  • Take meeting notes and distribute minutes as needed
  • Help track task deadlines and project timelines
  • Communicate with internal teams and external contacts on behalf of the department
  • Assist in preparing internal communications or newsletters
  • Coordinate with vendors, clients, or other stakeholders for meetings or logistics
  • Shadow senior administrative staff to learn professional workflows
  • Attend training sessions or staff meetings as appropriate
  • Take on progressively more responsibility with supervision
