About The Position

The Administrative Assistant is responsible for coordinating and executing on a variety of projects assigned by the Director of Operations. Requirements

  • Minimum of high school education, college preferred
  • Previous intake experience required (Home Health or Hospice)
  • Demonstrates good communications, negotiation and public relation skills
  • Demonstrates autonomy, organization, assertiveness, flexibility and cooperation in performing job responsibilities
  • Aptitude or computer data entry and use of current software systems.
  • Ability to establish and maintain effective working relationships.
  • Ability to meet the public and staff as a positive, friendly and professional representative of the agency.
  • Effective social interaction, communication and organizational skills and the ability to perform a variety of tasks efficiently.
  • Personal car for travel and valid driver’s license.
  • Carry personal auto liability insurance coverage.

Responsibilities

  • Serve as the primary point of contact for patients, families, referral sources, and interdisciplinary team members, providing compassionate and professional communication consistent with hospice philosophy
  • Provide administrative support including answering phones, managing correspondence, scheduling and data entry.
  • Assist intake and clinical teams during periods of high census or staffing needs, which may include managing high volume of referrals or supporting a full workflow.
  • Oversee and maintain hospice medical records in compliance with state regulations and agency policies
  • Manage and coordinate the intake process, including receiving, verifying, and processing patient referrals
  • Obtain and validate patient demographics, insurance information, and physician orders to ensure accurate admission.
  • Prepare, scan, upload and organize documents to ensure timely and accurate recordkeeping within patient charts
  • Monitor and manage medical supplies ensuring adequate inventory at all times, as well as keeping up with medical supply orders requested by clinicians throughout the day
  • Assist with tracking and reporting key intake and census metrics
  • Prepare and assemble new patient admission folders, ensuring all required documentation, consents, and educational materials are included, accurate, and organized in accordance with hospice regulatory requirements.
  • Create and coordinate new admission gift baskets for patients and families, ensuring items are appropriate, stocked, and aligned with the organization's hospice philosophy of comfort and support
  • Maintain inventory of admission folder materials and gift basket supplies, proactively restocking as needed to ensure readiness for timely patient admissions
