About The Position

This position provides programmatic and faculty support within a division, requiring a high level of professionalism and confidentiality. Responsibilities include managing meetings, overseeing educational activities, coordinating lectures and events, assisting with research protocols, serving as an administrative liaison, and completing schedules. The role also involves faculty support, processing leave requests, coordinating faculty effort, and developing recruitment itineraries. Additionally, the position handles purchasing and accounts payable, ensuring compliance with university and department policies and budgets. It also assists in resolving administrative and operational issues, and develops business plans, special projects, and strategies. Other duties as needed.

Requirements

  • High school diploma or equivalent and seven years of relevant experience.
  • Appropriate college course work or vocational/technical training may substitute at an equivalent rate for the required experience.

  • Bachelor’s degree in Healthcare, Business Administration or an appropriate area of specialization.

Responsibilities

  • Attendance at and maintenance of Division meetings, including scheduling participants and space, arranging food, ensuring streaming capabilities are operational, managing sign-in sheets, and preparing minutes.
  • Oversight of education activities, including fellowship development and medical student course reporting.
  • Oversight of Palliative Lecture Series and coordination of the Annual division CME event.
  • Provide Quality oversight of research proposal preparation, including IRB protocols, literature searches, and collaboration coordination.
  • Function as the institutional CAPC coordinator.
  • Serve as the administrative liaison with Haven Hospice and other local Hospices.
  • Complete inpatient schedules and enter into hospital on-call system.
  • Provide administrative support to the division chief, requiring the highest level of professionalism and confidentiality.
  • Assist with processing and tracking faculty leave requests.
  • Faculty effort coordinator.
  • Develop recruitment itineraries for faculty candidates.
  • Ensure division purchases are made and processed according to University and Department policy and in alignment with budget.
  • Assist in facilitation resolution of administrative, operational and communication issues between the division and other institutional entities.
  • Develop and implement business plans, special projects and strategies.
  • Other duties as needed.
