About The Position

Family Health Centers of San Diego (FHCSD) is looking for an Administrative Assistant III to work under the supervision of the Evaluation Manger. This role will be responsible for data entry into CMIS/EHR and other Databases (as assigned). The position will assist in identifying and correcting data entry errors, completing weekly and monthly quality assurance checks on entered data, and assisting with the quality assurance process. The role also supports the Evaluation team with gathering/researching information when the data team receives requests for data clarification from grant funders. Additionally, the Administrative Assistant III will assist in holding project timelines, supporting management with various project tasks, and supporting other departmental functions as determined by the Evaluation Team and Director.

Requirements

  • Bachelor's degree in Business Administration, Communication, Healthcare Administration, English, or related field required.
  • 1 year of experience with project coordination and management.
  • 4 years of progressively responsible administrative support experience required, preferably in the medical/health-related field.
  • Ability to type 40 - 50 WPM; ability to accurately complete data entry at relatively high speed, utilizing grammar and spell check software.
  • Exceptional knowledge of business English, including proper grammar, spelling, and punctuation.
  • Exceptional skills in computer software and systems, specifically Microsoft Office; ability to create graphs, use Excel Macros, and create dynamic power-point presentations.
  • Intermediate analytical and problem solving skills.
  • Intermediate knowledge of project management practices and principals, and LEAN methodology.
  • Traveling between sites and other locations is occasionally required.
  • Must have a valid California driver’s license, an automobile, and proof of minimum levels of car insurance as required under California law, although limits of $100,000 are recommended.
  • An acceptable driving record is also required.
  • California law requires all drivers to obtain a valid California driver’s license within ten days of establishing residency.

Responsibilities

  • Prepare, compile and sort documents for data entry
  • Check source documents for accuracy
  • Verify data and correct data where necessary
  • Obtain further information for incomplete documents
  • Update data and delete unnecessary files
  • Combine and rearrange data from source documents where required
  • Enter data from source documents into prescribed computer database, files and forms
  • Scan documents into document management systems or databases
  • Check completed work for accuracy
  • Maintain logbooks or records of activities and tasks
  • Respond to requests for information and access relevant files
  • Comply with data integrity and security policies
  • Performs other duties as assigned.
