About The Position

Performs complex administrative support work. Work involves providing administrative support including disseminating information; assisting with maintaining filing systems; and preparing and editing reports and documents. Works under general supervision with moderate latitude for the use of initiative and independent judgment. The role involves technical support for an agency program, including receiving, monitoring, and tracking data and documents, coordinating work between departments, and assisting in the development of administrative and technical assistance policies and procedures. Responsibilities also include preparing, editing, and distributing various documents, responding to inquiries, establishing and maintaining tracking and data management systems, overseeing fixed asset maintenance and reporting, answering and routing phone calls, greeting visitors, and performing criminal information searches using the Texas Department of Public Safety criminal history system.

Requirements

  • Graduation from an accredited senior high school or equivalent or GED.
  • Two years full-time, wage-earning customer service in an office environment, clerical, secretarial, administrative support, or technical program support experience.
  • Must have or be able to obtain a certificate of course completion for the Texas Law Enforcement Telecommunications System (TLETS) policy and procedures training from the Texas Department of Public Safety within six months of employment date.
  • Must meet and maintain TLETS access eligibility for continued employment in position.
  • Knowledge of office practices and procedures.
  • Skill to communicate ideas and instructions clearly and concisely.
  • Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
  • Skill to interpret and apply rules, regulations, policies, and procedures.
  • Skill in problem-solving techniques.
  • Skill to prepare and maintain complex records and files in an automated system.
  • Skill in the use of computers and related equipment in a stand-alone or local area network environment.
  • Skill in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs.

Responsibilities

  • Performs technical support work for an agency program; receives, monitors, and tracks data and documents; coordinates work between departments of the agency; assists in the development of administrative and technical assistance policies and procedures; and in analyzing and seeking solutions to problems.
  • Prepares, edits, and distributes correspondence, reports, forms, spreadsheets, and other documents; responds to inquiries regarding rules, regulations, policies, and procedures; establishes and maintains department tracking, filing, and data management systems to include automated information systems.
  • Oversees the maintenance, tracking, and reporting of fixed assets, ensuring program compliance with agency policies and procedures.
  • Provides assistance answering and routing phone calls, taking messages, and greeting and directing visitors to the appropriate staff.
  • Performs criminal information searches and retrieval using Texas Department of Public Safety criminal history system access.
  • Performs a variety of marginal duties not listed, to be determined and assigned as needed.
