About The Position

The Administrative Assistant III, Staffing is responsible for supporting Goodwill Staffing Goodwill of Colorado’s staffing agency with administrative functions, identifying and increasing the candidate pipeline by sourcing candidates, assessing qualifications and positioning them appropriately for job opportunities within the Applicant Tracking Systems (ATS). The Staffing Admin will also be responsible for other light office duties. The right Staffing Admin will be able to "wear many hats" and make a significant contribution to the overall success of the whole company. Goodwill Staffing is a full-service staffing agency within Goodwill of Colorado that recruits businesses outside of Goodwill for temporary, temp-to-hire, and direct hire staffing needs.

Requirements

  • A High School diploma or equivalent is required
  • 1-2 years of administrative experience preferred.
  • Previous temp staffing experience is preferred.
  • Previous experience using ATS (i.e., UKG, Tracker, etc.) is preferred.
  • Excellent organizational skills, flexibility, and ability to follow through with full cycle recruiting and building talent pipelines.
  • Must have excellent verbal and written communication skills; ability to interact effectively with candidates, clients, and Staffing team.
  • Must have a strong working knowledge of Microsoft Word, Excel, Outlook, and Google Chrome.
  • Must have experience working in data software systems.
  • Work effectively with diverse people including persons with disabilities and disadvantages, people at all levels of the company, outside community partners, vendors, job applicants, and candidates.
  • Must be able to exercise discretion with confidential information related to the company and its employees.
  • Must be able to work with a team to understand the technical and professional requirements of the role, office functionality, and how it fits into the organization.
  • 21 years of age (not engaged in passenger transportation)
  • 25 – 70 years of age for all passenger transportation services
  • 25 years of age for CDL.
  • Applicants/employee will be required to undergo a Motor Vehicle Record (MVR) check and background check
  • Applicants/employees must disclose all moving traffic violations or vehicle crashes (within the last five (5) years)
  • Must have valid Colorado State driver license
  • Must also be able to operate company vehicle, and adhere to all Federal, State, and local laws governing vehicle operation.
  • Applicants/employees using their personal vehicle for company business (receiving company mileage reimbursement), must have valid vehicle insurance, valid driver license, and vehicle must be in roadworthy condition.

Responsibilities

  • Assist with office tasks including answering the phones, checking voicemail, responding to emails, updating spreadsheets, and communicating the in-person interview schedule to the Front Desk Receptionist.
  • Assist candidates through the recruitment process from application to onboarding.
  • Assist with all aspects of Safety (training, documentation, etc.).
  • Update and track all open requisitions of the candidate pipeline in the Applicant Tracking System (ATS).
  • Follow-up with applicants who have applied for positions by calling and/or emailing.
  • Upload and file documents in an electronic filing system (i.e., ATS, personal files, client files, etc.).
  • Ensure new hires are onboarded properly; this will include but is not limited to; new hire paperwork, I-9/E-Verify, background checks, DIY/safety training, and any other required items for Goodwill and/or the Client.
  • Work in partnership with HR to understand and comply with the Equal Employment Opportunity Commission (EEOC) measures and guidelines and stay up to date on legal requirements.
  • Work in partnership with HR to understand Affirmative Action compliance and maintain accurate documentation with job descriptions, job postings, applications, interview notes, and job offers through the ATS.
  • Ensure the sourcing databases are updated daily: all data is captured, updated, and reported accurately.
  • Support the Staffing Manager with office operations.
  • General computer work and other duties as assigned.
  • Work directly with Staffing Recruiter and Account Executive to understand their staffing needs.
  • When requested, identify candidates and generate a pipeline, both active and passive, for approved and intended openings.
  • Execute creative and innovative recruiting strategies.
  • Act as a backup for the team in posting positions in the ATS for Goodwill Staffing.
  • Schedule interviews and support the Staffing team with sourcing and recruiting applicants.
  • Understand shifting business needs with the ability to change priorities with ease.
  • Assist Staffing team by completing admin functions, identifying and providing potential candidates, passive candidates, and specialized, or hard-to-fill roles through the internal resume database, candidate referrals, social networking, and web sourcing.
  • Maintain general and functional market expertise and leverage this knowledge to develop a best-in-class recruitment strategy.
  • Screen candidates for basic qualifications, interest, salary, availability, and other job qualifications.
  • Meet or exceed Staffing Team metric goals.
