About The Position

The Administrative Assistant II provides advanced administrative and clerical support to program offices, project teams, or departments supporting multiple functional activities. This role independently prepares and produces correspondence, reports, proposals, and other documentation while ensuring accuracy, professionalism, and adherence to organizational standards. The position supports operational continuity through document production, data tracking, and coordination activities. Requirements

  • Approximately six (6) or more years of experience providing administrative or secretarial support.
  • Demonstrated experience preparing and producing professional correspondence, reports, and proposals.
  • Proficiency in Microsoft Office applications, including advanced use of word processing and spreadsheet software (e.g., Excel).
  • Strong proofreading and document formatting skills.
  • Ability to manage multiple assignments across varied functional activities.
  • Strong organizational and time-management skills.
  • Effective written and verbal communication skills.
  • Ability to work independently with limited supervision.
  • Associate’s Degree required;OR equivalent combination of education and relevant experience.

Responsibilities

  • Prepare and produce correspondence, memoranda, reports, proposals, and other documentation using standard office software.
  • Draft, edit, format, and proofread documents to ensure clarity, accuracy, and compliance with established standards.
  • Utilize spreadsheet software (e.g., Microsoft Excel) to develop reports, track data, and produce finished deliverables.
  • Maintain and organize electronic and paper filing systems.
  • Provide document production support, including copying, scanning, compiling, and assembling materials.
  • Coordinate schedules, meetings, and logistical support as required.
  • Support multiple program activities that may involve unrelated functional areas.
  • Respond to routine and non-routine inquiries from internal and external stakeholders.
  • Assist with data tracking, reporting, and compliance documentation requirements.
  • Maintain confidentiality of sensitive or proprietary information.
  • Perform additional administrative duties as assigned.
