About The Position

The Area Assistant II, with minimal supervision, will perform a wide variety of higher-level clerical and administrative duties of both confidential and general nature and will coordinate activities, communication, and special projects as required for the Engineering Director and team. Actively participate in activities to assist customer service in meeting goals and objectives. This includes open communication at all levels, providing feedback, and presenting new ideas for improving processes. Act as a responsible team member when assigned to project teams (i.e., complete assignments on a timely basis, listen to others, etc.).

Requirements

  • High school graduate required.
  • Minimum of 3 years work experience in a professional administrative role required.
  • Must be proficient in Microsoft Office (Word, Excel, and PowerPoint).
  • Individual must be professional, maintain a high level of confidentiality, and has demonstrated initiative and multi-tasking ability.
  • Ideal candidate will be self-motivated and capable of working independently of direct supervision.
  • Must be resilient, flexible, detailed-oriented, and energetic.
  • Must be able to work with multiple priorities and meet deadlines despite frequent interruption.
  • Applicants must be authorized to work in the US without requiring sponsorship now or in the future.

Nice To Haves

  • Associate Degree in Secretarial Science preferred.
  • Ideal candidate will enjoy working with analytical data and spreadsheets.

Responsibilities

  • Provide accurate and timely document preparation for the engineering team. Microsoft software packages such as Office 2007 (Word, Excel, and PowerPoint) will be utilized to create presentations for management meetings, etc…
  • Maintain correspondence and follow-up files on daily activities, handles incoming and outgoing correspondence.
  • Maintain calendar and appointment activity for the Engineering Director.
  • Order office supplies for the department. Order food/beverage for department meetings.
  • Provide phone coverage to support the marketing team.
  • Assist the Engineering Director with administrative support and special projects.
  • Process Purchase Orders through the SRM system.
  • Process Procurement Cards and Hospitality & Real Estate Cards for reconciliation.
  • Assist in creating and maintaining marketing spreadsheets; aid in the analysis of data; and prepare presentations utilizing Excel and PowerPoint
  • Perform other duties as assigned.
