This position provides administrative support to the VNA leadership team to maximize their effectiveness and efficiency.

Requirements

  • High School Diploma or equivalent required.
  • Two to three years’ experience providing administrative support experience

Responsibilities

  • Maintains schedules for the VNA management team utilizing electronic Outlook calendars.
  • Schedules meetings for VNA management, makes as requested.
  • Provides all pertinent information needed for scheduled appointments and coordinates room reservation, catering etc. as needed.
  • Provides day to day administrative support to the VNA Leadership team, managers and staff support including typing and drafting correspondence, attends meetings, composes agendas, takes and types minutes, maintains up to date filing systems, fax communications, presentations, opening, screening and delivery of mail. etc.
  • Heavy calendar management across the teams, requiring interaction with both internal and external participants and assistants, as well as consultants, vendors and other institutions, to coordinate a variety of internal and external meetings. This includes conflict resolution, proactive reminders of appointments and assuring that VNA leadership personnel are prepared for upcoming meetings.
  • Makes travel reservations, orders tickets, makes and confirms lodging and airline reservations and prepares expense reports.
  • Compose and prepare correspondence that is sometimes confidential in nature; arrange complex and detailed travel plans, itineraries and agendas.
  • Support for high level and high visibility meetings. This includes, but not limited to, agenda development, reserving rooms, arranging meals and presentation preparation.
  • Prepare all documentation for, coordinate, attend, record and send out minutes and actions from major project or program group meetings.
  • Performs credit card reconciliation for VNA Leadership team.
  • Prepares requisitions and maintains supply inventory and materials, checks receipts for incoming materials and processes invoices for payment.
  • Performs assigned work safely, adhering to established departmental safety rules and practices; reports to supervisor, in a timely manner, any unsafe activities, conditions, hazards, or safety violations that may cause injury to oneself, other employees, patients and visitors.
