About The Position

This position is for an Administrative Assistant II within the Office of Agricultural Law Enforcement at the Florida Department of Agriculture and Consumer Services, located in Tallahassee, Florida. This role is a Career Service position within the State Personnel System, and only current State Personnel System employees will be considered. The position involves assisting the Supervisor with various administrative duties, including fleet management, the agency's annual promotional process, and inventory of agency-assigned assets. The role also provides backup reception duties, documentation support, and other administrative tasks as assigned. Occasional travel is required.

  • A high school diploma or its equivalent and six (6) years of administrative or clerical experience; OR An equivalent combination of education and experience which equals six (6) years can substitute for the above requirements; OR A bachelor's degree (4 years) from an accredited college or university and two (2) years of administrative experience; OR A master's degree (6 years) from an accredited college or university can substitute for one year of the required experience.
  • Requires possession of a valid Class E driver license.
  • Must pass a background screening, fingerprint processing, and drug screening, as conditions of employment.

Responsibilities

  • Assists with overall fleet management, including ensuring completion of monthly vehicle logs, data entry into Fleetwave, and updating the agency’s AVIMS fleet management Sharepoint page.
  • Assists with the preparation of vehicle movement and vehicle disposal documentation for DMS.
  • Requests Sunpass stickers for agency vehicles and assists with other fleet management projects.
  • Assists with the agency’s annual promotional process, including scheduling meetings, preparing meeting notes, cataloging and preparing test questions, and assisting with test scheduling.
  • Assists with agency inventory responsibilities, including attending training, participating in the annual inventory process, scanning inventory items, and making database entries related to assets.
  • Creates ICRs in Cherwell as directed.
  • Provides assistance and/or completes other administrative or support tasks assigned by the chain of command.
  • Attends meetings and travels as required.
  • Operates and/or utilizes a variety of business and office equipment including computers, photocopying equipment, scanners, calculators, etc.
  • Acts as backup for office receptionist, greeting and directing visitors, and receiving, answering, and routing telephone and fax communications.
  • Provides support to OALE Headquarters staff.
  • Researches records and traces documents.
  • Organizes and maintains records, filing systems, databases and inventories.
  • Enters and reviews data for accuracy and completeness.
  • Performs other related duties as required.
