About The Position

The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.

Requirements

  • High school diploma or GED and two (2) years of administrative experience; OR associate’s degree or higher.
  • Strong customer service and interpersonal skills.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to handle a high volume of telephone, email, and in-person inquiries while maintaining a positive and professional demeanor.
  • Basic knowledge of office procedures and recordkeeping practices.
  • Proficiency with Microsoft Office applications, particularly Outlook, Word, and Excel.
  • Ability to accurately enter, review, and maintain data and financial information.
  • Ability to identify, research, and resolve routine account discrepancies.
  • Strong attention to detail and organizational skills.
  • Ability to maintain confidentiality and exercise discretion when handling student records and financial information.
  • Ability to prioritize work and meet deadlines during peak operational periods such as registration and billing cycles.

Nice To Haves

  • Experience in a higher education environment, student account services, cashiering, payment processing, or the use of Banner or other enterprise information systems.
  • Experience working with computerized databases, student information systems, or financial systems.
  • Experience handling cash, checks, credit card payments, or other financial transactions.
