About The Position

The Administrative Assistant II is a vital support role primarily focused on the daily coordination of primary school operations (Vie Scolaire). The position facilitates and administers the day-to-day operations of the primary school, serves as a primary contact for internal and external constituencies regarding student matters, and provides essential administrative and operational support to ensure a smooth, respectful, and safe school environment. Requirements

  • High School or GED diploma
  • Native-like bilingual fluency in French and English
  • Three or more years' experience in a related field or position
  • Well-developed and effective communication skills (oral and written) and strong human relations skills; ability to work positively with students, teachers, support staff, parents, and members of the community
  • Strong computer and technological literacy
  • Demonstrated attention to detail and strong organizational and time management skills
  • Ability to maintain confidentiality and security of information
  • Regular, predictable, and reliable attendance at work
  • Demonstrate a commitment to Rochambeau's vision, mission, values, and strategic aims

Nice To Haves

  • Bachelor's degree or equivalent
  • Experience in a private, international, or school setting
  • Proficient knowledge of Google office platform
  • Experience providing administrative/data management functions using modern office technology and database management systems (e.g., PowerSchool, Pronote, Mage, ADP, etc)

Responsibilities

  • Supervise student arrival (bus and carpool), dismissal, and lunch organization, including checking daily attendance of lunch monitors.
  • Collaborate with transportation and after-school departments to manage student movements via SchoolPass.
  • Verify daily student attendance and ensure accuracy in PowerSchool. Update ADP for lunch monitors regarding attendance, hours, and absences.
  • Support the follow-up of student discipline, assemblies, and delegate elections. Provide direct support and assistance to new students during their acclimatization.
  • Respond to emergencies (911 calls, minor first aid) when the nurse is absent.
  • Participate in organizing school events, field trips, overnight trips, and student activities. Assist with childcare coordination and monitor training.
  • Maintain professional, positive, and effective communication with parents, staff, and students regarding various primary school operations.
  • Ensure the office runs smoothly by managing supplies (ordering and distribution), arranging for equipment service and building service assistance, and ensuring general office support is available to staff.
  • Perform additional duties consistent with the scope and intent of the position, as assigned.
