About The Position

Tryfacta is seeking an Administrative Assistant I for our client in Los Angeles, CA 90012. This is a temporary contract assignment. The position will be responsible for identifying and resolving problems of limited scope and complexity and work on assignments that are routine in nature. Primary responsibilities will include supporting administrative tasks for the Section including but not limited to processing requisitions and releases for payment, assembling report documents for mailing and/or distribution, compiling and preparing routine reports with specified templates and deadlines, maintaining tracking sheets and other databases, purchasing supplies on behalf of staff, and other duties as assigned appropriate for this classification. This position will provide support on multiple and time-sensitive analytical assignments in a high energy, team-based environment. To be successful in this role, you'll need to work collaboratively with coworkers, perform administrative duties, and demonstrate critical thinking skills. The Administrative Assistant I will prioritize work assignments, be detail oriented and have strong communication skills.

Requirements

  • A high school diploma or general education development test (GED) and four years of relevant experience; or Associate's Degree from an accredited college or university in a related field and two years of relevant experience; or Bachelor's Degree from an accredited college or university in a related field.
  • Proficient in Microsoft Excel, with strong working knowledge of the Microsoft Office Suite, including Word, PowerPoint, and Outlook.
  • Ability to work effectively in a dynamic, collaborative team environment.
  • Flexible and adaptable, with the ability to pivot and respond to changing priorities.
  • Strong attention to detail and commitment to accuracy.
  • Personable, Team Player, Flexible, Multitask and handles pressure well.
  • Detail orient, Organized, Strong Written and Verbal Communication skills a must.
  • Knowledge of administrative procedures and systems; methods and techniques of data collection and report preparation; and current office technology and equipment.

Responsibilities

  • Prepares letters, reports, and other documents from rough drafts; arranges material into proper format; and creates basic spreadsheets.
  • Answers inquiries; explains or clarifies rules, processes, and procedures; and provides information requiring general knowledge of institutional operations.
  • Extracts information from a variety of sources and compiles information for periodic or special reports.
  • Processes petty cash requisitions, prepares reimbursement reports, and monitors replenishment of funds.
  • Performs corporate credit card purchases and reconciliations, creates reports, and provides support to other card holders.
  • Maintains databases by entering information from a variety of source documents and determining actions necessary to obtain missing information or to correct information.
  • Files documents, records, and reports; develops, reconstructs, and/or purges files; indexes, locates, and updates records.
  • Orders, receives, and maintains office supplies.
  • May act as timekeeper and assists employees and managers with accurate timekeeping submission; reviews and verifies timekeeping entries.
  • Performs other related Administrative Assistant job duties as required.
