About The Position

This position provides administrative and secretarial support in a variety of technical and professional areas to the Big Lagoon State Park Manager and other park staff. The role involves assisting in planning, coordinating, and implementing all administrative activities for park operations, including fiscal, purchasing, and budget tracking duties. Key responsibilities include maintaining a computerized budget tracking system, reconciling with FLAIR, and providing budget reports. The assistant also helps with the planning and administration of park contracts, use agreements, and permits, and processes requisitions, bids, and p-card transactions. Data entry for park records, maintaining archival and resource files, and developing management reports are also crucial. The position monitors and audits park revenue procedures, performs cash register adjustments, and processes personnel-related paperwork such as leave, attendance, recruitment, employee relations, and travel. Furthermore, the administrative assistant ensures park compliance with division policies, assists in staff training on administrative procedures, and offers recommendations for efficiency improvements. The role also requires attending meetings, representing the Park Manager, processing technical correspondence, and maintaining park property records.

Requirements

  • Knowledge of administrative principles and practices.

  • Ability to collect, evaluate, and analyze data relating to accounting, personnel, purchasing, and report writing.

Responsibilities

  • Provide administrative and secretarial support in a variety of technical and professional areas to the Big Lagoon State Park Manager and other park staff.
  • Assist in planning, coordinating, and implementing all administrative activities involved in park operations.
  • Perform fiscal, purchasing, and budget tracking duties for the park.
  • Maintain computerized budget tracking system and reconcile with FLAIR.
  • Provide related budget reports to park manager and district.
  • Assist park manager in the planning and administration of park contracts, use agreements and permits.
  • Process requisitions, bids, and p-card transactions.
  • Perform and direct data entry required to maintain park records.
  • Maintain park archival and resource files.
  • Develop management reports and summaries for use in making management decisions and planning park activities, services, and resource management.
  • Monitor and audit park revenue procedures and related reports.
  • Perform or direct adjustments to cash register and/or CSR computer as needed.
  • Prepare and process paperwork relating to personnel activities to include leave and attendance, selection and recruitment, employee relations, and travel.
  • Assist in assuring park compliance with current division policies, procedures, and programs.
  • Oversee and assist in training staff in proper administrative procedures and practices.
  • Provide recommendations to park manager for processes and procedures which will promote efficiency and simplify park administrative functions.
  • Attend meetings and training sessions and represent the Park Manager at meetings with division representatives, other agencies, and organizations.
  • Process technical park correspondence, investigate subject matter, and prepare replies.
  • Maintain park property records.
  • Perform other related duties as required.
