About The Position

UCF Human Resources is the backbone of the university's workforce and the Administrative Assistant I is the face of that team. This role is for someone energized by a fast-paced environment where their work directly impacts the employee experience. As the first point of contact for everyone who walks through our doors or reaches out for support, this position will keep the front desk running, manage incoming inquiries, and support the day-to-day operations of a central HR office serving the entire university. Beyond the front desk, this role will take on a genuine lead function providing guidance, training, and mentorship to Federal Work Study student employees, making a real impact on how this team operates. This is a role for someone who is organized, people-focused, and ready to be the operational backbone of one of UCF's most essential departments.

Requirements

  • High School Diploma or Equivalent and 0+ years of relevant experience.
  • All applicants must be authorized to work for any U.S. employer. Visa sponsorship is not available for this position, and the university cannot accommodate H‑1B transfers or employment-based visa processing for individuals currently sponsored by another employer.

Nice To Haves

  • 1+ years of experience in an administrative or office support role within a university, public institution, or similar setting.
  • Experience in a customer service-oriented role with the ability to interact professionally and provide courteous responses to inquiries from stakeholders.
  • Experience providing guidance, task direction, or mentoring to student workers, interns, or other junior staff.
  • Proficiency with Microsoft Office applications (e.g., Outlook, Word, Excel) and virtual meeting platforms (e.g., Microsoft Teams or Zoom) for correspondence, scheduling, and data entry tasks.
  • Experience drafting written communications, procedures, or correspondence in a professional setting.
  • Demonstrated ability to manage competing priorities, pivot quickly when needs change, and maintain attention to detail in a fast-paced environment.
  • Strong interpersonal skills and ability to interact effectively with a variety of individuals, including faculty, staff, students, and visitors.
  • Ability to work independently and collaboratively in a team environment.

Responsibilities

  • Greets visitors and directs them to the correct location.
  • Answers external phone calls and directs inquiries correctly within the organization.
  • Provides information for routine inquiries; management of HR inboxes (i.e., AskHR and HR Administration).
  • Accepts and signs for deliveries.
  • Screens, sorts, and distributes mail.
  • Assists in arranging travel plans.
  • Ensures standard office machinery (e.g. phones, printers, copiers, and fax) is in working order.
  • Coordinates scheduling of individuals and meeting spaces, including opening and closing of office/meeting areas.
  • Manages office supplies inventory.
  • Submits work orders to CBRE (building management) for maintenance and repairs.
  • Submits IT tickets when issues arise.
  • Maintains technology equipment.
  • Maintains security management system dnaFusion.
  • Assists other administrative support personnel in efforts to manage office.
  • Drafts standard operating procedures for front desk operations and correspondence on behalf of supervisor.
  • Data/Analytics Customer Support (IT, Call Log, etc.).
  • Provides day-to-day work direction, guidance, training, and operational oversight for Federal Work Study student employees, including assigning tasks, monitoring workflow, reviewing work quality, and serving as a lead resource to support successful completion of departmental objectives.
  • Assists with recruitment, onboarding, and scheduling of student employees.
  • Offers ongoing coaching, feedback, and mentoring to support employee development.
  • Provides project and backup support to HR functional areas and Administration leads as needed.
  • Supports logistical coordination of HR meetings: One HR Community of Practice meetings.
  • Assists with routine human resources activities (i.e., new employee orientation, maintenance of personnel files, updates to Human Resources).
  • Other duties as assigned.
