About The Position

Assist the Manager in a variety of administrative, fiscal, personnel support, and program planning activities. Responsibilities will also include the planning and development of specialized record keeping and database management, operating office equipment and/or specified information-gathering projects and tasks. This is a non-exempt position at 40 hours/week for 52 weeks/year (negotiable). Continuation of position is contingent upon funding allocations.

Requirements

  • Must possess High School Diploma or G.E.D. equivalent.
  • Current Fist Aid and CPR certifications or willingness to obtain these certifications within (30) days of date of employment is required. Must maintain CPR and Red Cross First Aide Certification during employment.
  • Stockbridge-Munsee Community Food Safety Certification is required with in three (3) months of employment. Must maintain Food Safety Certification during employment.
  • Ability to clearly communicate orally, in writing, assertively and effectively.
  • Ability to process information effectively, identify and define problems and make timely, objective decisions.
  • Ability to operate standard office equipment including a computer, laminator, and copy/ fax machine.
  • Must be dependable and reliable and have demonstrated the ability to maintain a satisfactory employment record with any previous employer.
  • Must adhere to strict confidentiality in all matters. (Must sign a confidentiality statement prior to start of employment.)
  • Adhere to the Tribe’s Drug and Alcohol-Free Workplace Policy during the course of employment. A Tuberculosis (TB) screening and/or TB Skin Test is required prior to employment and annually thereafter.
  • Must have a valid driver’s license, reliable transportation, and insurance are required. Must obtain a Wisconsin driver’s license within 30 days of employment if applicant has an out-of-state driver’s license. Must meet and maintain the eligibility to operate a personal or tribal vehicle under the driver acceptability guidelines as established by Mohican Nation Insurance.
  • Previous personal computer experience is required including knowledge of Microsoft Office.

Nice To Haves

  • Additional skill and knowledge of smart boards, iPads, and other advanced technologies preferred.
  • Knowledge of the Stockbridge-Munsee Community, its history, culture, and language is preferred.

Responsibilities

  • Build an understanding of the Center program by communicating its philosophy, mission, and services to staff, families, tribal leaders and the community.
  • Manages front office services including incoming and outgoing calls, monitors and documents all attendance, absences and enrollment as well as ensures proper documentation is complete within in child's file. Attains parental signatures as needed.
  • Develops and maintains a comprehensive recordkeeping system for team, PIR (Program Information Report), Program volunteers and type/quantity of support services provided.
  • Assist the Family Services Coordinator with preparing and distributing correspondence, reports, meeting minutes, agendas, memos, forms, directories, monthly calendars, newsletters, and parent communications.
  • Assist Family Service Coordinator with planning and providing opportunities for parents to become involved in program activities; teachers and staff to establish and support Parent Committees as defined in Performance Standards; monitor, evaluate and recommend improvements to parent activities.
  • Participate in pre-service, in-service, and other on-going training as required by Head Start and Wisconsin Child Care regulations.
  • Practice excellent customer service skills at all times to include, but not limited to, addressing program families, members of the community, and employee needs courteously and promptly.
  • Filling in as Cook, and/or operating a transportation van when the program staff and/or alternate are unavailable.
  • Collaborates with the Center Bus driver to confirm routes, rider participation, evacuation drills and confirms of operation of alarms.
  • Assist with planning and carrying out activities which promote Parent Involvement in the areas of Health, Safety, Nutrition and Transition activities.
  • Help the Center program achieve its goals by staying informed of pertinent day-to-day activities and adjusting own work accordingly.
  • Adhere to all tribal law, personnel policies and procedures in addition to departmental policies and procedures.
