About The Position

Assist with administrative and office functions, including but not limited to answering and directing phone calls, mail collection and distribution, record-keeping, file, and data management (paper and electronic). The Administrative Assistant will help direct visitors and customers, order supplies, and maintain a clean visitor's area; provide assistance in other areas or departments as instructed and necessary.

Requirements

  • High School diploma or equivalent preferred.
  • Professional appearance and pleasant demeanor.
  • Ability to work independently with minimum instruction.
  • Intermediate use of a computer using a Windows-based operating system.
  • Intermediate knowledge of MS Office (Outlook, Word, Excel, PowerPoint); MS D365 experience preferred but not required.
  • Maintain high level of data entry accuracy, and accurate and legible written records and documentation.
  • Keep records and information confidential; secure sensitive information to prevent misuse.
  • Strong organization skills and attention to detail.
  • Excellent verbal and written communication skills.
  • Works well under time constraints and deadlines.
  • Knowledge of the operation of standard office equipment, copier / scanner, telephone system.
  • Knowledge of the English language, including correct grammar, and the spelling and meaning of words.
  • General knowledge of business practices, and customer service principles.
  • Must be able to work in a high functioning team environment.
  • Display the highest levels of honesty, integrity, and professionalism.

Responsibilities

  • Answer a multi-line telephone system, direct or transfer calls, or take messages.
  • Performs data entry of purchase orders in appropriate systems.
  • Greet visitors and customers and direct them to the appropriate person or department.
  • Create, organize, and maintain file and record-keeping using both paper and electronic methods.
  • Retrieve and distribute mail daily. Gather and/or prepare outgoing mail and packages.
  • Photocopy, scan papers or documents.
  • Organizing, collecting, and reconciling company credit card receipts in Concur system
  • Assist with organizing company events
  • Appropriately handle sensitive and confidential information.
  • Maintain office supply request lists and order supplies, as necessary.
  • Maintain and restock office, break room, and visitor areas.
  • Performs additional duties as required.
