About The Position

The Administrative Assistant Floater will provide administrative support across multiple outpatient office locations in Bibb, Pickens, and Tuscaloosa County. This role requires a thorough understanding of electronic health records and Microsoft Office programs, maintaining office management, and handling various administrative tasks efficiently and accurately. The position involves direct client interaction, managing documentation, ensuring confidentiality, and coordinating with various internal and external entities.

  • Knowledgeable of and abide by HIPAA regulations.
  • Must have the use of sensory skills in order to effectively communicate and interact with other employees, consumers and the public.
  • Physical capability to effectively use and operate various items of office related equipment.
  • Must possess a valid Alabama driver's license.
  • Hearing and vision must be normal or corrected to within normal range.
  • Able to perform the duties with or without reasonable accommodation.
  • Physical presence onsite is essential.

Responsibilities

  • Greet clients cordially and check them in via the computer system, updating demographic information and obtaining signatures.
  • Inform appropriate staff members of waiting clients.
  • Obtain and enter all intake information for new clients, including financial and insurance information, and scan documents.
  • Verify Medicaid for new clients and set up their financial eligibility in the computer system.
  • Monitor client cancellations and no-shows, sending follow-up letters and rescheduling appointments.
  • Make reminder phone calls to clients with upcoming appointments.
  • Schedule interpreters or translators as needed.
  • Perform front desk operations including answering the telephone, reception of clients, and scheduling.
  • Distribute mail as assigned.
  • Take payments, maintain accurate receipts for cash payments, and deliver money or make bank deposits.
  • Perform administrative reviews on charts and closed case reviews as assigned.
  • Coordinate with the county jail to schedule appointments for court-ordered clients.
  • Request records or lab results from other agencies.
  • Coordinate Indigent Drug Program and Patient Assistance Programs with eligible clients.
  • Enter initial Substance Abuse client information into ASAIS system.
  • Obtain vital signs from clients during doctor's visits and enter into the computer system.
  • Perform fire drills and other emergency drills in Bibb and Pickens Counties.
  • Ensure the security of medical records.
  • Manage the distribution of prescriptions and lab orders for telemedicine.
  • Ensure all safety, fire prevention, and other procedures are followed by clients.
  • Implement all assigned duties according to IRBH policies and procedures and Department of Mental Health policies and standards.
  • Support Organizational Code of Conduct, Standards Compliance, HIPAA and Security Programs.
  • Maintain the confidential nature of all client and Organization related activities.
  • Adhere to attendance and punctuality policy.
  • Comply with all standards related to safety and health, including maintaining TB Test, CPR/First Aid, CPI.
  • Identify opportunities for improving the quality of services.
  • Practice efficient time management skills.
  • Devote 40 hours per week to duties, with potential for more than 40 hours as required.
  • Perform all other duties and responsibilities as assigned by the supervisor or Executive Director.
