This is a temporary, full-time, onsite position located at our job site near Manhattan, NY. The project is expected to last approximately 2 years. Hours are Monday – Friday, 40 hours per week with possible overtime. Summary: Performs various administrative tasks related to the daily operation of assigned district or department.

Requirements

  • Minimum of Associates Degree and/or 3+ years of related administrative experience.
  • Previous experience or interest within the construction industry is preferred.
  • Must have strong computer skills with the ability to quickly learn and utilize new software as needed.
  • MS Office, specifically Excel and Word programs, are required.
  • Must have the ability to set up spreadsheets in Excel.
  • Professional communication skills and demeanor.
  • Well-organized with the ability to multi-task
  • Must be detail oriented
  • Identify and resolve conflict as needed

Responsibilities

  • Provides administrative support to department and manager.
  • Support engineers and field employees on jobsite with various project related tasks and responsibilities.
  • Maintains extensive filing system to ensure back up of all invoices and correspondence
  • Set up spreadsheets using Excel; edit various PDF documents
  • Maintains project sign-in/sign-out log
  • Ensures proper paycheck distribution, and time input for hourly based employees
  • Maintains up to date knowledge of Union Employees’ benefits, changes, and wage adjustments.
  • Set up and coordinate meetings and conferences
  • Maintains and updates project safety meeting and training logs
  • Research, price, and purchase office supplies
  • Handles travel arrangements for all district members going to out of state jobs
  • Prepare shipments for UPS and Fed Ex packages
  • Arrange accommodations for out of state employees
  • Assisting in new employee orientation and proper set up of paperwork required
