About The Position

This role provides administrative support and office management, including reception, records management, class and appointment scheduling, data collection and analysis, research, and inventory. The position serves as the primary point of contact for division information. Key responsibilities include managing multiple division/grant budgets, preparing for theatre productions (contracts, payments, travel), processing quote/purchase requests, reconciling department card purchases, and managing all department expenditures. The role also involves supervising student workers and assisting the chair with theatre accreditation data. Other duties as assigned.

Requirements

  • Knowledge of general office practice and procedures.
  • Ability to set priorities, manage multiple tasks, meet deadlines, and creatively solve problems.
  • Knowledge of general office practices, procedures, and equipment.
  • Experience providing programmatic and/or administrative support in an academic or professional environment.
  • Demonstrated ability to use various computer applications including Microsoft Word, Excel, and Outlook.
  • Ability to work with confidential information.
  • Demonstrated organizational, written, and verbal communication skills with the ability to relate well with various people.

Nice To Haves

  • Strong fiscal/bookkeeping experience.
  • Working knowledge of Banner, eVA, Cognos, People Admin and EPAF.
  • Working knowledge of university policies and procedures related to the fiscal process.
  • Supervisory experience.
  • Education in a business-related field.

Responsibilities

  • Provide administrative support and office management, including reception, records, class scheduling, appointment scheduling, data collection/analysis, research, and inventory.
  • Serve as the primary point of contact for division information.
  • Manage multiple division/grant budgets.
  • Manage theatre production preparation, including contracts, payment, and travel arrangements (meals, transportation, lodging).
  • Prepare quote/purchase requests.
  • Reconcile department card purchases/payments.
  • Process all department expenditures.
  • Supervise student workers.
  • Assist the chair in theatre with accreditation data.
  • Perform other duties as assigned.
