About The Position

The Dermatology Administrative Assistant provides support for four dermatologist's daily activities, as well as other administrative tasks in the department. Provides and promotes a high level of customer service to internal as well as external clientele. Requirements

  • Excellent verbal and written communication skills.

  • Strong organizational, time management and attention to detail skills.
  • Possess problem-solving skills, be self-motivated, and strive for professionalism.
  • Ability to work in group setting as well as work independently.
  • Exceptional computer skills and proficiency with Microsoft Office Suite.
  • High school diploma or general education degree (GED); Bachelor’s or Associate’s Degree or certificate from a university or technical school preferred.
  • Experience in Dermatology, Plastic Surgery or a Med Spa a plus.
  • Experience with electronic health records a plus.
  • One to four years of relevant experience in a medical office, physician practice, hospital and/or acute care setting is preferred.

Responsibilities

  • Complies with Health Insurance Portability and Accountability Act (HIPAA) while performing all duties.
  • Greets all patients in a prompt, pleasant, and helpful manner while ensuring they receive the highest levels of customer service.
  • Triages phone calls (patient calls and scheduling calls), provides information, and takes messages when necessary to relay to staff (dermatologist and nursing).
  • Processes patient payments, fulfills retail product orders, and assists back office with any needs in patient flow.
  • Enters billing into billing software.
  • Organizes and maintains patient communication and preparation for exam day through email and phone calls.
  • Learns about offered retail products and cosmetic treatments to easily answer patient questions.
  • Books, coordinates and reschedules patient appointments.
  • Maintains confidentiality of all clientele.
  • Continuously monitors for cancellations, fills those spots, and texts patients to remind of upcoming appointment.
  • Works with other clinic departments and two other admins to expedite patient care for efficiency in daily flow.
  • Maintains a positive attitude and adheres to the Cooper purpose and core values.
  • Follows all Clinic policies and standard operating procedures.
  • Completes duties on site with consistent, regular, and reliable attendance.
  • Accomplishes other duties as assigned.
