About The Position

Reporting to the Director of Campus Safety, the Administrative Assistant oversees the efficient operation and participates in the daily activities of the Campus Safety Office.

Requirements

  • High School Diploma or GED
  • 1-3 years of work experience working with Oracle or other payroll systems.
  • Able to pass a background check
  • Experience/commitment to working with and supporting diverse communities
  • Familiarity with OSHA, FMLA and military leave procedures
  • Possess strong critical thinking skills
  • Familiarity with Adobe, Microsoft Word, Excel, Teams, Zoom, report writing software such as Omnigo
  • Familiarity with accounts payable invoice processing procedures
  • Familiarity with Cleary Act, Title IX, FERPA
  • Ability to handle sensitive information with professionalism, discretion and compassion
  • Ability to work effectively and collaboratively as a member of a diverse team
  • Display sensitivity to the unique role that security plays in a college setting
  • Effective oral and written communication, organizational, and problem-solving skills
  • Meticulous attention to detail
  • Reliable and able to work independently under established guidelines
  • Ability to maintain confidentiality

Nice To Haves

  • Associate's degree, preferred
  • Previous higher education experience is a plus

Responsibilities

  • Provide administrative, operational and departmental support.
  • Assist with coordinating events and/or meetings including scheduling, securing locations/event spaces, arranging catering, working with vendors and presenters, identifying audio-visual needs, coordinating travel (accommodations, dining reservations, etc.).
  • Assists in various marketing efforts including, but not limited to, creating and distribution of promotional materials for events such as brochures and flyers.
  • Oversee a staff of student employees and manage student staff payroll.
  • Maintain Daily Crime Log in accordance with federal guidelines.
  • Manage billing of parking registrations and citations.
  • Orders necessary office supplies and materials for department/area, meetings, and events.
  • Works with vendors on invoicing and purchase orders.
  • Liaises with appropriate parties to service office equipment and troubleshoot issues.
  • Respond to questions from staff, students, faculty and visitors.
  • Perform other related duties as assigned and based on departmental need.
