About The Position

The Department of Transportation and Public Facilities (DOT&PF), Central Region Highways & Aviation, is seeking an Administrative Assistant 3 in Anchorage to support the Southwest District's budget, capital projects, procurement, human resources, payroll, and operations. This role involves monitoring and reconciling expenditures for a budget exceeding $7 million and multiple state- and federally funded projects. The position requires preparing financial reports, analyzing funding and spending trends, and advising on budget issues. The Administrative Assistant will also coordinate procurement, personnel, payroll, travel, and equipment functions, ensuring compliance with state and federal requirements. The role operates in a dynamic environment demanding sound judgment, initiative, problem-solving, and adaptability.

Requirements

  • Knowledge of traditional accounting practices including accrual, obligations, and costs methods.
  • Knowledge of the principles and practices of budget administration and analysis; including preparing, justifying, reporting on, and executing the budget; and the relationships among program, budget, accounting, and reporting systems.
  • Knowledge of filing, typing, entering data, maintaining records, taking shorthand, and using and completing forms.
  • Shows understanding, friendliness, courtesy, tact, empathy, concern, and politeness to others; develops and maintains effective relationships with others; may include effectively dealing with individuals who are difficult, hostile, or distressed; relates well to people from varied backgrounds and different situations; is sensitive to cultural diversity, race, gender, disabilities, and other individual differences.
  • Identifies problems; determines accuracy and relevance of information; uses sound judgment to generate and evaluate alternatives, and to make recommendations.
  • Valid Driver's License is required.

Responsibilities

  • Perform a variety of technical and paraprofessional administrative duties supporting the Southwest District’s budget, capital projects, procurement, human resources, payroll, and operations.
  • Monitor and reconcile expenditures for an operating budget exceeding $7 million and multiple state- and federally funded projects.
  • Prepare financial reports, analyze funding and spending trends, and advise the District Superintendent and supervisors on budget issues and recommendations.
  • Coordinate procurement, personnel, payroll, travel, equipment, and other administrative functions while ensuring compliance with state and federal requirements.
