About The Position

The Behavioral Health and Treatment Centers – Steilacoom Unit, is seeking an Administrative Assistant 2 to support daily operations and resident services. In this role, you will coordinate resident flow, manage support services, triage resident telephone calls to clinical staff, schedule appointments, register residents, maintain resident records, assemble charts, and initiate and process resident charge documents. This is a full-time, Monday through Friday position with no option for remote work. Opportunities performed on-site at this work location at least three days a week may be eligible for an additional 5% premium pay in addition to the advertised salary. Pierce County employees are eligible to receive an Orca Card for transportation needs.

Requirements

  • High school diploma or equivalent, and two years of clerical, office, or administrative experience.
  • One year of experience as an Administrative Assistant 1.
  • Equivalent education/experience.
  • Employees driving on state business must have a valid driver's license.
  • Employees driving a privately owned vehicle on state business must have liability insurance on the privately owned vehicle.

Responsibilities

  • Process referral packets and coordinate admissions activities, including obtaining required information from residents at admission.
  • Contact county jails as needed to ensure all admission requirements are complete.
  • Collaborate with County Jail Mental Health Counselors or Medical staff to confirm resident medication information is accurate.
  • Onboard residents and request consults with OFMHS staff.
  • Coordinate scheduling for clinical team and OFMHS staff to assess resident competency.
  • Coordinate resident records, referrals, special forms, and charge documents to support check-in and check-out processes.
  • Process, reconcile, investigate, and correct resident documents to ensure accuracy.
  • Process resident care orders, including requisitions for exams or equipment.
  • Perform general clerical duties such as answering and screening calls, processing mail, and assembling and sending information to residents.
  • Attend clinical meetings and provide written documentation of the topics discussed.
