About The Position

The Administrative Assistant II serves as the primary administrative support to the Associate Vice President of Enrollment Management (EM). The individual oversees the human resources functions for Enrollment Management including processing and documentation for more than 50 full-time employees. This position also provides administrative support to other EM departments: Student Financial Aid, Undergraduate Admissions, New Student and Family Transitions, and Graduate Admissions Operations. This position may support division events and AU recruitment events. The individual will be responsible for multiple administrative roles in this division including day-to-day scheduling, budget tracking, purchasing, and managing inventory.

Requirements

  • Associate's degree from an accredited college or university in a related field and a minimum of four years of progressively responsible experience in administrative support positions OR High School diploma, GED or equivalent from a recognized State or Federal accrediting organization and seven years progressively responsible experience in administrative support positions.
  • Knowledge of office practices, procedures, and equipment.
  • Knowledge of recordkeeping and filing systems (electronic and paper).
  • Knowledge of standard business communication formats and etiquette.
  • Basic knowledge of budgeting, purchasing, and/or financial processes.
  • Knowledge of scheduling and calendar management.
  • Skill in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office software.
  • Skill in written communication (drafting memos, correspondence, reports).
  • Skill in verbal communication and professional interaction with staff, students, and external stakeholders.
  • Skill in time management and prioritizing multiple tasks.
  • Skill in proofreading and attention to detail.
  • Ability to handle confidential information with discretion.
  • Ability to work independently with minimal supervision.
  • Ability to coordinate meetings, travel, and event logistics.
  • Ability to adapt to changing priorities and deadlines.

Responsibilities

  • AVP SUPPORT: Serves as the Administrative Assistant II for the AVP Enrollment Management, to include support tasks such as completing travel authorizations and expense statements and managing their calendar, meetings, and locations. Manages all spending and budget monitoring for Enrollment Management to include check requests, P-Card statements, HR tasks, prepares and processes requisitions, IDRs, Check Requests, budget reports, and correspondence about resources. Keeps the AVP and ESA Administrator up to date on all transactions and balances.
  • DIVISIONAL SUPPORT & PLANNING: Provides support for Enrollment Management and Divisional events including recruitment, event set-up and operations and other on-campus events (i.e. Housing move-In, etc.). Assists in planning and coordinating department programs, projects and special events.
  • OTHER ENROLLMENT MANAGEMENT DEPARTMENT SUPPORT: Provides administrative support to Enrollment Management departments including Student Financial Aid, Undergraduate Admissions, New Student & Family Transitions, and Graduate Admissions Operations including but not limited to purchasing via requisitions, IDRs, Check Requests, P-Card, travel processing for staff, HR tasks (including setting up interviews, collecting HR documentation, etc.) and keeping department advised of their budget status.
  • OFFICE AREA SUPPORT: Manage the office/reception area for Office of the AVP of Enrollment Management. Answers telephone calls and greet visitors to the office. Assist students, faculty, staff, parents, and visitors with questions or concerns. Serves as the primary POC for daily operations: IT, housekeeping/EVS, maintenance requests. Manage and assist with equipment inventory, space inventory, and surplus needs.
  • OTHER: Perform other duties as assigned.
