About The Position

The Administrative Archivist provides administrative support to the Tribal Forestry, DNR Administration, and Tribal Historic Preservation (THPO) offices. Primary responsibility includes standard secretarial and clerical duties such as filing and scanning documents to the Forestry shared drive. Administrative Archivist is the primary point of contact to greet YN staff and the public. Responsible to copy and route documents to several DNR programs. Administrative Archivist will learn and assist Bookkeeper and Account Advisor on all administrative processes and policies following internal procedures while maintaining YN policy procedures.

Requirements

  • Knowledge of computers, scanners, copier, and fax; and ability to use various standard office equipment and software programs including Microsoft Office and Adobe.
  • Knowledge of general office practices and principles including standard clerical duties.
  • Knowledge of iSolved reports and leave audit procedures and deadlines.
  • Ability to establish and maintain effective working relationships with co-workers and Yakama Nation employees; must be comfortable interacting with a wide range of individuals, including the public, field staff, program managers and other superiors in order to represent the program in a positive manner.
  • Ability to track documents through a variety of levels of approval and at multiple offices to ensure that the documents are returned to the program within appropriate timeframes.
  • Ability to maintain program physical and electronic records.
  • Must monitor internal and external deadlines and process documents in a timely manner.
  • Must exercise sensible prioritization of multiple and coinciding tasks.
  • Knowledge of basic Natural Resources terminology, specifically those related to forestry.
  • Must have a high school diploma or GED.
  • Two years office work performing as an Office Assistant V or equivalent.
  • Must possess a valid Washington State Driver's License with the ability to obtain a Yakama Nation Driving permit.
  • Required to pass a pre-employment drug test.

Responsibilities

  • Greet Visitors and is the First Point of contact for Tribal Forestry and DNR Administration program staff.
  • Maintain record and track DNR Administration signed documents and Tribal Forestry administrative documents.
  • Maintain archival records for DNR Administration, Tribal Forestry, Tribal Historic Preservation Offices, and other Department of Natural Resources programs as necessary.
  • Maintain digital records and establish electronic filing system for Tribal Forestry, DNR Administration, and Tribal Historic Preservation Office mail, inquiries, and requests.
  • Assist Bookkeeper and Account Specialist with program errands, such as ordering and picking up supplies for meetings and replenishing office supplies.
  • Issue Discovery Pass & Northwest Forest Pass to members.
  • Assist with Tribal Forestry Service Contracts by maintaining Contractor List and mailing contract announcements.
  • Assist in processing Payroll Action Forms and Request for Recruitment forms.
  • Distribute Payroll biweekly for several DNR Programs.
  • Prepare property transfer and disposal forms for signature.
  • Provide monthly narrative report of tasks performed.
  • Administrative duties as assigned that pertain to the position.
