The hours of work are generally Saturday and Sunday, 8am to 6pm. Some additional hours may be available on an as-needed basis. This position reports to the Manager of Supportive Services. Environment: Physical demands include sedentary work, operating a computer and other office productivity machinery with frequent communication with clients and colleagues of VOA Illinois and others involved in the care and custody of clients. Must be able to lift and carry up to 50 lbs. Demonstrate ethical and professional behavior at all times. Engage with trauma-informed care approach and practice principles. Recognize and display ability to de-escalate and resolve conflict as necessary. Program Overview: Hope Manor 1 is one if the first large-scale, supportive housing developments specifically designed for Veterans in the City of Chicago. Essential Functions: The Administrative and Program Assistant-GDP is responsible for coordinating office and program services and performing a variety of tasks including clerical functions to ensure the effective and efficient functioning of the office and program. Composes and types routine correspondence, reports and documents. Prepares/types minutes and reports within policy and procedural guidelines. Assists in research, statistical gathering and analysis for purposes of generating reports. Responsible for maintaining systems to track data for assigned staff. Maintains files and records following prescribed procedures. Greets guests/residents/clients, answers telephone, takes messages, responds to routine inquiries, and makes outside contacts for purposes of relaying or obtaining information and keeping staff informed. Upholds the mission and values of VOA of Illinois at all times. Other Duties: As assigned by supervisor. Education and Experience Position requires a high school diploma. Position requires 1-2 years of demonstrated experience in the helping/service field. Excellent communication, writing, problem solving, and organizational skills. Must be proficient in Microsoft Office, especially with spreadsheets, databases, and reporting tools.
