About The Position

This position provides advanced clerical, administrative support to the Office of Human Rights and Equity (OHRE) under the direction of the Administrator, Compliance Officer, and investigative staff. The role also involves high-level administrative functions such as preparing financial, purchasing, and budgetary documents; coordinating meetings and trainings; providing technological support; managing payroll and Kronos functions; and supporting assigned boards, commissions, and workgroups. The incumbent maintains regular communication with local, state, and federal agencies and must effectively manage multiple priorities within legal and internal deadlines while upholding strict confidentiality, accuracy, and responsiveness in serving a diverse population.

Requirements

  • Bachelors degree and one (1) year of experience or equivalent combination of education and experience.

  • Demonstrate excellent oral and written communication skills over the phone, in person, through e-mail or other written correspondence

  • The incumbent must have keyboard skills and use a computer with appropriate programs.

  • Certification by the American Bar Association preferred but not required.

Responsibilities

  • Maintains and updates case files, databases (OHR Records Management System and IMS), and ensures proper storage or destruction in compliance with retention policies.
  • Managing payroll and Kronos functions.
  • Prepares and submits required reports to internal stakeholders and external agencies, including the EEOC and Human Rights Commission.
  • Coordinates responses to public information requests and gathers data from County departments.
  • Supports assigned boards, commissions, and workgroups by preparing meeting materials, taking minutes, and assisting with public outreach activities.
  • Provides administrative support for payroll, Kronos, leave tracking, evaluations, and personnel file maintenance; supervises interns and supports onboarding via NEOGOV.
  • Uses SAP-ERP to process purchases, track invoices, reconcile travel expenses, and manage PDQ program credit card transactions.
  • Maintains front office operations including phones, mail, supply orders, and customer service to walk-in clients and callers.
  • Participates in County-wide initiatives, trainings, and COOP planning; shares implementation updates with OHRE staff.
  • Assists with annual budget preparation and the development of monthly and annual office reports.
  • Supports website updates and publication of documents such as flyers, agendas, and hearing notices.
  • Develops and implements office procedures; provides training and guidance on policy and workflow updates.
  • Ensures strict confidentiality and accuracy in all work related to investigations, litigation, and public engagement.
  • Conducts research and supports compliance reviews related to housing, employment, finance, public accommodation, and law enforcement practices.
