The Administrative Aide will report to the Manager of the Solid Mechanics department, and will directly support the Engineering staff. Responsibilities will include: Frequent and close interaction, and communication with all levels of department Management and Engineering personnel Preparing (typing, formatting, editing, issuing, copying) various documents (letters, memorandum, transmittals, conference reports, etc.) Filing calculations, reports and other department documents and records Opening and closing commitments Scheduling meetings and reserving conference rooms Completing IT requests for new employee computer hardware Handling desk phone requests Updating People-Soft database Updating department organization chart Preparing visit requests Preparing travel arrangements Preparing expense reports Preparing non-technical spreadsheets Maintaining and ordering office and copier supplies Monitoring and changing copier toner cartridges Handling Iron Mountain storage and retrieval requests Facilitate Cornerstone training requests Maintaining fire evacuation checklists Other general office duties
