About The Position

Responsible for assisting in the execution of varied, complex and frequently confidential assignments in the administration and coordination of activities of the City Council office in order to conserve the time of the Councilor by relieving them of administrative tasks and responsibilities not requiring their personal and official attention. Work is performed under the direction of the City Clerk Manager and Council President with reviews through observation, reports and conferences. No supervision is exercised over other employees.

Requirements

  • Extensive knowledge of Council programs, functions, operations, policies and procedures with respect to work performed.
  • Thorough knowledge of rules, regulations, laws and ordinances governing the work performed.
  • Considerable knowledge of the principles and practices of modern office management and supervision.
  • Considerable general knowledge of the organization, programs, functions and interrelationships of the various municipal departments.
  • Working knowledge of the administrative analysis, research and preparation of administrative reports.
  • Ability to carry out general and special studies and assignments requiring the organization of material and development of work methods in areas where no standardized procedures exist.
  • Ability to coordinate requests from a 13-Member City Council and respond appropriately.
  • Ability to take detailed notes.
  • Ability to plan, assign, supervise and review the work of subordinates.
  • Ability to interpret Council policies, rules, regulations and the law(s) under which it operates, to subordinates and the general public.
  • Ability to express oneself clearly and concisely, orally and in writing.
  • Bachelor's degree in a related field.
  • One to three years of experience in difficult and responsible administrative work.

  • Experience with setting up and coordinating virtual meetings via Zoom preferred.

Responsibilities

  • Responds to City Council related questions via walk-ins, mail, email, or phone calls.
  • Drafts for approval resolutions and ordinances of the City Council.
  • Researches specific topics for individual Councilors.
  • Prepares communications, such as memos, emails, reports and other correspondence as requested.
  • Assist in the maintenance of department files both in hard copy and electronically.
  • Performs related work as required.
