We are seeking a business savvy, organised, detail-oriented Administration Manager for our Inbound Programs. The focus of the Administration Manager - Inbound Programs is on results and relationships. You will be an integral member of a close-knit team, driven by a shared commitment to delivering exceptional experiences to all stakeholders. The Administration Manager is responsible for ensuring overall smooth, efficient and timely management of all aspects of the Inbound Programs whilst actively participating in strategic decisions made at senior management level. It’s an exciting industry where every day is different, and you will be a part of creating experiences for students that only exchange can provide. With over 22 years’ experience, WEP is a trusted student exchange organisation running both inbound and outbound programs. We send students to countries around the world and also bring in overseas students to experience life in Australia. WEP Australia offers a very friendly and welcoming work environment, with a strong team spirit. This full-time position is based at the head office in Hampton, the bayside suburb of Melbourne. Requirements

  • Management and leadership experience, with the ability to coach and mentor staff
  • The ability to think strategically and make sound business decisions
  • The ability to work independently and as part of a team
  • A passion for education and student exchange
  • High level operational and administrative skills with demonstrated time management, organisation and attention to detail
  • Excellent customer service and conflict resolution skills
  • Strong IT skills, with experience in varied CRM systems considered as a plus

Nice To Haves

  • A background in the international education and/or not-for-profit sectors
  • Personal intercultural or student exchange experience as a student, host family, local coordinator or staff.

Responsibilities

  • Analysing data and trends to identify opportunities for improvement
  • Liaising with WEP International offices and other overseas partner organisations on program delivery, logistics and student issues
  • Leading and mentoring a small team in the daily delivery of the program, actioning a range of simultaneous activities
  • In collaboration with the Marketing & Sales team, closing all host family placements and school enrolments within strict deadlines
  • Managing compliance processes and ensuring that the programs operate according to regulatory requirements
  • Managing the resolution of student issues, including mentoring and possible change of host family.
