About The Position

This position is responsible for verifying the identity of legally valid clients before allowing entry into the sales area, entering patient data into EVS and ICS systems, and maintaining accurate records of patient identification and registration documents. The role also involves managing patient traffic flow, answering phones, responding to inquiries from patients and designated patient caregivers (DPCs), and assisting them with completing Company Discount Plan and Home Delivery documents. The Admin will welcome patients and DPCs, provide exceptional service, answer questions, and offer orientations for new clients. They will educate patients on registration processes, obtain and verify identification and state registration cards, and record each visit using Veriscan. The Admin will communicate with dispensary agents to ensure smooth patient traffic flow, collaborate with Green Cannabis Co. and transportation agents on orders, and respond to in-person requests and resolve simple complaints via email. Additionally, the role includes organizing desk space, maintaining the waiting room, updating knowledge of laws and regulations, and understanding the marijuana products and services offered. The Admin will provide educational materials without offering medical/legal advice, record patient preferences, assist with document preparation for registration and discount plans, and ensure all patient files are current and compliant with guidelines. They will maintain the patient database, update online menus with dispensary agents, coordinate office supplies, organize mail, and prepare orders. The Admin will also handle media calls, assist managers with research and projects, and comply with company policies and regulations. Further responsibilities include assisting with start-of-day and end-of-day procedures, greeting patients, providing educational materials, discussing inventory levels, assisting with registration, and following up with new, inactive, or expired members. The Admin will also follow up on product/service requests, notify management of supply needs, participate in facility discussions for improvements, and attend staff meetings.

Responsibilities

  • Record and collaborate with Green Cannabis Co and transportation agents about clients' preorders and online orders.
  • Respond to in-person patient requests and resolve simple compliments or complaints through e-mail.
  • Organize desk space and maintain waiting room throughout the day, including light cleaning and trash removal.
  • Update knowledge of all applicable state and local laws and regulations, as well as documentation processes.
  • Maintain a basic understanding of the marijuana, and related products and services offered.
  • Provide educational materials and resources for patients and DPC as needed.
  • Record specific requests, preferences, and notes concerning patient and DPC registration status using the EVS and ICS.
  • Assist with the preparation of documents as needed to assist patients and DPCs register with the Department, and documents needed to qualify for the Company Patient Discount Plan and Home Delivery Plan.
  • Ensure all patient and DPC files are current and required documentation is on file and follows all EVS and other guidelines issued by the Department.
  • Maintain patient database by entering new patients, adding or removing membership, updating changes in information, scheduling appointments, and updating patient registration status.
  • Discuss with dispensary agent or manager or assistant manager to update online menus and checklists.
  • Coordinate with Green Cannabis Co-manager for office supplies and other items as needed.
  • Organize and route incoming mail. Ensure outgoing mail is given to the postman daily.
  • Prepare patient and customer online and pre-orders, if assigned.
  • Provide deliveries as needed.
  • Route media calls to the appropriate manager or Community Outreach Manager immediately.
  • Assist managers with research, communications, and any other assigned project/task.
  • Comply with Green Cannabis Co.'s and Company's current policies and procedures and applicable state and local laws and regulations.
  • Assist in start-of-day and end-of-day procedures, opens all computer programs necessary, organizes waiting room, prepares paperwork, etc.
  • Greet each patient or DPC and obtains all appropriate documentation.
  • Discuss inventory levels with the dispensary manager and update online and checklist information, if needed.
  • Assist patients and DPS with their registration with the Department, if asked.
  • Organize and distribute incoming mail. Collect outgoing mail and ensure daily posting.
  • Stay informed and knowledgeable about applicable state and local laws and regulations and industry news.
  • Assist in follow-up calls to new members, those not seen in 60 days, and expired members.
  • Follow-up with patients and DPCs about specific product or service requests.
  • Notify Dispensary manager of office supply needs and assists management in product inventory and/or adjustments.
  • Participate in the facility discussions and provides suggestions for improving product availability, patient and DPC satisfaction, and/or company policies and procedures as needed.
  • Attend staff meetings as scheduled.
