About The Position

The Admin / Dispatcher will oversee day-to-day scheduling and dispatch while playing a key leadership role in operations. This individual must be highly organized, proactive, and comfortable managing multiple moving parts at once.

Requirements

  • Experience with dispatching and GPS tracking systems (or ability to learn quickly)
  • Comfortable balancing field operations, scheduling, and administrative workflows
  • Leadership mindset with problem-solving capabilities

Responsibilities

  • Create and manage daily and long-term schedules for field technicians
  • Dispatch crews based on job priority, location, and skillset
  • Adjust schedules for emergency calls and last-minute changes
  • Utilize GPS tracking systems to optimize routing and efficiency
  • Maintain consistent communication with technicians throughout the day
  • Provide real-time problem-solving and job support
  • Monitor job progress to ensure timely completion
  • Handle incoming service calls and job requests
  • Communicate scheduling updates and job status with clients
  • Ensure professional, timely follow-up
  • Oversee day-to-day operational workflow
  • Serve as liaison between the General Manager and field staff
  • Identify inefficiencies and implement process improvements
  • Support company growth through operational planning and development
  • Oversee active field projects
  • Ensure timelines, scope, and manpower alignment
  • Assist with issue resolution and operational decision-making
  • Process and manage purchase orders (POs)
  • Reconcile company credit card transactions
  • Review, correct, and submit payroll for accuracy
  • Coordinate with accounting and management on financial documentation
  • Maintain vendor portals and compliance documentation
  • Coordinate with suppliers on materials and timelines
