About The Position

UPMC Williamsport is seeking an Admin Assistant - Intermediate to join our Food & Nutrition Services team. In this role, you'll work in close proximity to leadership with the ability to observe and gain valuable experience for professional and personal growth. The schedule is Monday to Friday, with shifts from 6:00 am to 2:30 pm, and occasional adjustments for payroll and holidays. This position offers the opportunity to be part of a busy, collaborative team that makes a meaningful difference every day. Our department supports patient meal service, retail dining, catering, and food production while serving as an essential part of the patient and customer experience. Requirements

  • High school diploma or equivalent.
  • Three years of experience in an administrative support role.
  • Ability to perform advanced functions in word processing, electronic mail/calendar, spreadsheet, presentation, and database software.
  • Ability to use applicable MS Suite products.
  • Working knowledge of business processes and procedures.
  • Knowledge of basic accounting and financial principles and functions.
  • Ability to analyze data and use basic reasoning skills.
  • Understanding of accounting principles.
  • Strong Excel user.
  • Able to use Word and Outlook.
  • Able to coordinate, facilitate, and effectively communicate with multiple sites.
  • Communicate with external and internal departments to coordinate monthly reporting, budgeting & billing.
  • Positive attitude.
  • Able to maintain focus.
  • Understand and adhere to policy/standards.
  • Demonstrates professionalism, compassion, and attention to detail.
  • Works well independently and as part of a team.
  • Act 34 clearance.

Responsibilities

  • Provide varied administrative support to a department or group of professionals under general direction.
  • Make travel arrangements.
  • Maintain various accounting and budgetary records, including completing expense reports.
  • Collect, compile, and analyze moderately complex data and information.
  • Compose straightforward written descriptions of results.
  • Research, draft, and/or abstract reports, including conducting initial research to gather information for the supervisor regarding topics of interest.
  • Perform routine clerical functions such as copying, sorting, filing, and typing.
  • Set up and maintain varied office files, logs, and records of office activities.
  • Order office supplies and maintain office equipment.
  • Answer, screen, and route incoming calls and messages.
  • Respond to routine questions.
  • Greet, screen, and direct visitors to appropriate staff members.
  • Review administrative procedures and interpret them for employees.
  • Maintain supervisor's calendar, including proactively scheduling meetings, making recommendations for venues and catering, and taking a leadership role to ensure meetings flow smoothly.
  • Assist supervisor and department with presentations, providing content editing/recommendations in addition to standard proofing.
  • Compose routine, general, and unique/independent correspondence, including modifying email content on behalf of the department head and reading/answering correspondence.
