About The Position

This position is on-site for the Pueblo campus and is a 20-hour a week (.50 FTE) benefits-eligible position. Minimum Qualifications are established by the State of Colorado. This job announcement is open to current state of Colorado residents only. Employment-Based Immigration Sponsorship is not available for this position. Due to budget constraints, we have a constricted wage range for this position. We are only able to accept applications from persons with 25 years of service or less in the Administrative Assistant series. Individuals with related experience outside of the series are also encouraged to apply.

Requirements

  • Two (2) years of relevant experience in an occupation related to the work assigned to this position OR A combination of related education and/or relevant experience in an occupation related to the work assigned equal to two (2) years
  • Must attach a letter of intent (cover letter) describing the means in which you meet the qualifications for this position
  • Must attach unofficial or official transcripts showing education conferred if using education or formalized apprenticeship in lieu of experience
  • Clearly document job duties you have performed that relate to minimum qualifications, preferred qualifications, and essential job duties in the Work Experience section on the application.
  • Clearly outline dates of employment and hours worked per week for each employment experience listed in the Work Experience section of the Application so that Human Resources can calculate full-time work experience.
  • Part-time experience will be calculated to determine the full-time equivalent.
  • The Work Experience is the only document that will be utilized to determine if minimum qualifications, as outlined in the job posting, have been met.

Responsibilities

  • Serve as the primary front-desk representative for the Registrar’s Office, greeting and assisting students, faculty, staff, and visitors.
  • Respond to in-person, phone, and email inquiries, providing accurate information regarding Registrar policies and processes.
  • Process walk-in requests, troubleshoot basic issues, and direct individuals to appropriate staff members when additional assistance is needed.
  • Maintain a professional, welcoming, and customer-focused front-desk environment.
  • Process all Registrar’s Office forms accurately, efficiently, and in compliance with office procedures.
  • Manage transcript requests and support transcript-related services, including processing, troubleshooting, and delivery coordination.
  • Perform enrollment verifications and assist with verification-related documentation.
  • Support updates to student records as directed by higher-level staff.
  • Complete scanning of Registrar documents and verify accurate indexing within document management systems.
  • Maintain organized physical and digital filing systems to support easy retrieval and record accuracy.
  • Assist with routine student record maintenance and office filing needs.
  • Assist with Registrar’s Office projects, cleanup activities, audits, and process improvements as assigned.
  • Provide general administrative support including copying, form handling, task follow-up, data entry, etc.
  • Participate in cross-training to ensure operational continuity across office functions.
  • Perform additional duties to support efficient and accurate Registrar’s Office operations.
