About The Position

Under the direction of the Manager, Accreditation, the Specialist, Accreditation (Site Visits) provides administrative, logistical, and operational support for the accreditation activities of the ACPE Commission on Accrediting. This position serves as a key member of the accreditation team and is responsible for coordinating accreditation site visits, supporting accreditation directors and commissioners, maintaining accreditation records and databases, and assisting with accreditation-related meetings, events, and programs. The Specialist helps ensure the efficient execution of accreditation processes while delivering exceptional customer service to member schools, peer evaluators, commissioners, and other stakeholders.

Requirements

  • Bachelor's degree and at least two (2) years of related professional experience; or an equivalent combination of education, training, and experience.
  • Working knowledge of ACPE accreditation principles, standards, policies, and procedures, or the ability to quickly acquire such knowledge.
  • Understanding of database management and business software applications.
  • Exceptional organizational skills and attention to detail.
  • Strong written, verbal, and interpersonal communication skills.
  • Excellent customer service and stakeholder relationship management abilities.
  • Demonstrated problem-solving and sound judgment skills.
  • Ability to manage multiple projects and competing priorities simultaneously.
  • Ability to work independently while contributing effectively within a team environment.
  • Strong proficiency with Microsoft Office Suite, Microsoft Outlook, Adobe Acrobat/PDF tools, and database systems.
  • Ability to accurately process, maintain, and manage confidential information.
  • Adaptability and willingness to learn new systems, processes, and technologies.

Nice To Haves

  • Familiarity with nonprofit, higher education, association, or membership-based environments preferred.
  • Experience in a nonprofit, association, higher education, accreditation, or membership-based organization preferred.
  • Experience working with association management systems (AMS), customer relationship management (CRM) platforms, learning management systems (LMS), or membership databases strongly preferred.
  • Experience with iMIS software is highly desirable.

Responsibilities

  • Manage and oversee the accreditation site visit cycle.
  • Coordinate and track all accreditation-related communications with member institutions, peer evaluators, and accreditation staff.
  • Maintain accurate records, files, schedules, and databases related to accreditation visits.
  • Prepare and distribute materials required for accreditation evaluations and site visits.
  • Administer and monitor the conflict-of-interest process for peer evaluators.
  • Provide logistical support and guidance to visit coordinators, peer evaluators, and participating institutions.
  • Coordinate travel arrangements and communicate travel-related information as needed.
  • Process and reconcile expense reimbursements associated with accreditation visits.
  • Provide additional support for accreditation activities as assigned.
  • Provide administrative and logistical support for accreditation-related educational programs, meetings, and events, including: Self-Study Workshops, School for Peer Reviewers, Board of Commissioners Meetings, Reader Panels, Committees and Task Forces.
  • Assist with meeting planning, scheduling, registration, and event logistics.
  • Coordinate with hotels, venues, vendors, and service providers.
  • Prepare meeting materials, training resources, and supporting documentation.
  • Manage electronic evaluation and feedback processes.
  • Serve as a point of contact for meeting participants and provide outstanding customer service.
  • Provide day-to-day administrative support for the accreditation department.
  • Prepare correspondence, mailings, reports, and other documents.
  • Manage calendars, meeting schedules, conference calls, and virtual meetings.
  • Answer and route incoming calls and inquiries.
  • Maintain departmental records and filing systems.
  • Record and distribute meeting minutes as requested.
  • Provide additional administrative support to the Senior Director of Accreditation and accreditation directors.
  • Perform other duties as assigned.
