About The Position

Reporting to the Accounting Manager, the Accounts Receivable & Payable Supervisor drives our business forward by meticulously keeping our accounting department running smoothly by overseeing and monitoring cash in- and out-flows. As the Accounts Receivable Supervisor, the successful candidate will oversee the entire A/R cycle: invoicing, cash receipts and applications, and collections to ensure timely cash receipts, accurate financial records, while developing procedures, resolving complex billing issues, and reporting metrics to management, requiring strong leadership, analytical, and communication skills. As the Accounts Payable Supervisor, the successful candidate will manage daily AP operations, ensure timely and accurate invoice processing, payments (ACH, checks, wires), vendor management, and compliance, while also driving process improvements, handling escalations, and supporting month-end close activities, balancing hands-on work with strategic oversight for financial control and efficiency.

Requirements

  • High school diploma or equivalent required.
  • Minimum of two years of A/R and A/P service industry supervisory experience required.
  • Strong organizational skills and attention to detail.
  • Strong interpersonal communication skills.
  • Ability to handle sensitive information with discretion/confidentiality.
  • Proficiency in Microsoft Office applications especially MS Excel (as well as a demonstrated ability to quickly learn new technology in support of business operations).
  • Ability to work in a fast-paced environment.
  • Regular and reliable office attendance is a must.
  • Be proactive and thrive working in a team setting as well as individually.
  • Problem solving/resourceful.
  • Any combination of education and experience, demonstrating the required skill and knowledge for successful performance of assigned duties.

Responsibilities

  • Supervise Accounts Receivable Specialist(s) [80% Focus]
  • Supervise the Accounts Receivable Specialists to prepare and issue complete, timely and accurate customer invoices: (a) Initial Rentals/Services; (b) Recurring Invoices; and (c) one-time or special events.
  • Implement internal controls to prevent billing errors and unauthorized invoice modifications.
  • Submit invoices to customers for payment once the Accounting Manager and/or Chief of Staff have reviewed to ensure accuracy.
  • Track invoice approval bottlenecks and propose process improvements.
  • Monitor Accounts Receivable Aging reports, issue monthly statements for outstanding balance, communicate with customers regarding over-due invoices.
  • Create and track structured collection timelines (soft reminder → formal notice → escalation).
  • Recommend suspension of service when accounts exceed thresholds.
  • Provide monthly reporting on delinquent account trends.
  • Apply incoming payments to customer accounts and invoices.
  • Monitor unapplied cash and resolve any discrepancies as they arise.
  • Reconcile customer accounts and Accounts Receivable subsidiary ledger in the aggregate, resolve any reconciling items, reconcile the subsidiary ledger to the General Ledger.
  • Support weekly/monthly/annual audit requests for AR.
  • Supervise Accounts Payable Specialist(s) [15% Focus]
  • Receive, verify, and process invoices according to company policies and procedures. Record all vendor invoices within two days of receipt.
  • Implement three-way matching controls (purchase order-receiving report-invoice).
  • Maintain professional relationships with vendors, address inquiries, and resolve invoice discrepancies or payment issues. Manage vendor onboarding, including W-9s, ACH forms, and compliance documentation.
  • Ensure timely and accurate processing of payments via checks, ACH transfers, or credit card payments.
  • Reconcile vendor accounts and Accounts Payable subsidiary ledger in the aggregate, resolve any reconciling items, reconcile the subsidiary ledger to the General Ledger
  • General accounting [5% Focus]
  • Reconcile cash receipts and disbursements recorded to the bank accounts monthly no later than five days after month end.
  • Prepare four-week cash flow forecasts on a weekly basis.
