About The Position

The Accounts Receivable & HR Admin supports the daily operations of a 35-employee location by performing a wide range of accounting, HR, and administrative tasks. The primary responsibility of this role is managing accounts receivable functions, while also providing basic HR administrative support and ensuring smooth office operations. This role is ideal for someone who is detail oriented, organized, and comfortable interacting with employees and customers.

Requirements

  • 13 years of experience in accounting, accounts receivable, office administration, or related fields.
  • Basic understanding of HR processes is preferred but not required; willingness to learn is essential.
  • Strong attention to detail and high level of accuracy with financial records.
  • Excellent communication and customer service skills.
  • Ability to handle confidential information with professionalism and discretion.
  • Proficiency with Microsoft Office (Excel, Outlook, Word)
  • Strong organizational and multitasking abilities.
  • Follows established company processes, procedures, and instructions.

Responsibilities

  • Monitor outstanding receivables and follow up on past-due accounts.
  • Process customer payments and reconcile accounts.
  • Assist with month-end closing activities related to A/R.
  • Maintain accurate customer account records and support audits when needed.
  • Coordinate and manage travel arrangements, including booking flights, hotels, and rental cars.
  • Perform general administrative duties, such as filing, ordering office supplies, arranging food deliveries, and coordinating with service providers (e.g., HVAC companies).
  • Oversee Enterprise/fleet rental management, ensuring vehicles are properly allocated and documentation maintained.
  • Greets and directs all visitors and fielding of telephone calls.
  • Maintain well organized employee files and organize financial files.
  • Enter and keep updated data in our systems.
  • Organize mail and ordering of office supplies (Marbach Uniforms, business cards)
  • Assist with benefits coordination, including employee enrollments, changes, and inquiries.
  • Support with recruiting coordination, including scheduling interviews and conducting phone screenings when needed
  • Answer employee questions related to payroll, benefits, policies, and general HR inquiries.
  • Assist with event coordination, including employee engagement activities, meetings, and corporate gatherings.
  • Maintain accurate hours for payroll processing.
  • Onboarding and offboarding of employees.
  • Assist employees with basic HR questions and direct them to HR leadership when needed.
