About The Position

We are looking for a detail-oriented Accounts Receivable Coordinator to oversee the reporting and processing of royalty income. This role is responsible for monitoring aging reports across multiple entities, preparing financial updates for the accounting team, and supporting ad hoc analyses for special projects. You will investigate invoice discrepancies, generate revised invoices once issues are resolved, and collaborate closely with project managers to ensure accurate and timely billing.

Requirements

  • Prior experience in accounts receivable, aging report management, and billing collections.
  • Proficiency with Deltek Vision/Vantagepoint.
  • Strong Excel capabilities (e.g., pivot tables, VLOOKUPs, data analysis).
  • Ability to perform detailed invoice analysis and reconciliation.

Nice To Haves

  • Experience in billing/collections within the AEC (Architecture, Engineering & Construction) industry preferred.
  • Excellent interpersonal and communication skills, with the ability to interface directly with design leaders and other stakeholders.
  • Comfortable learning and adapting to new technologies and systems.

Responsibilities

  • Lead and support collection efforts, tailoring client communication primarily via email.
  • Prepare collections reports, analyze outstanding vs. paid invoices, and develop customized collection strategies for each client.
  • Proactively anticipate upcoming collection needs and adjust outreach accordingly.
  • Conduct monthly meetings to provide summaries and cash flow updates to the CFO.
  • Assist in all aspects of client billing processes.
