YOUR IMPACT The Accounts Receivable & Contract Management Specialist reports to the Controller and is responsible for managing the organization’s accounts receivable function, invoicing processes, and financial oversight and administration of contracts. This role ensures timely and accurate billing and collections, compliance with donor and contractual requirements, proper revenue recognition, and adherence to nonprofit accounting standards. The position supports strong internal controls and maintains audit-ready documentation.

Requirements

  • Bachelor’s degree in accounting, finance, business administration, or related field.
  • Minimum of 1-2 years of relevant experience.
  • Demonstrated experience managing accounts receivable and invoicing processes.
  • Experience reviewing contracts and grants for financial terms and compliance requirements.
  • Proficiency in accounting systems and CRM platforms (e.g., HubSpot) and strong Microsoft Excel skills, along with proficiency with or aptitude for administering a contract management system.
  • Attention to detail, high level of accuracy in financial transactions and documentation.
  • Ability to manage multiple deadlines and priorities.
  • Ability to collaborate effectively with legal, business development and programs across the organization
  • Commitment to ethical standards and safeguarding the confidentiality of sensitive financial and contractual information.

Responsibilities

  • Manage the organization’s accounts receivable system, including administration of HubSpot, ensuring accurate customer, donor, and partner account setup and maintenance.
  • Generate and distribute invoices in accordance with contract terms, grant agreements, and organizational policies.
  • Monitor accounts receivable balances and aging reports; follow up on outstanding invoices to ensure timely collection.
  • Accurately record payments and apply receipts to the appropriate accounts, programs, and funding sources.
  • Coordinate with the Business Development team to ensure billing accuracy, completeness, and alignment with executed agreements.
  • Perform other finance-related duties as assigned by the Controller.
  • Assist the legal function with contract administration, including a focus on financial terms and obligations.
  • Ensure invoicing complies with contract terms, donor restrictions, and approved budgets.
  • Track contract values, amendments, renewals, expirations, billing schedules, and deliverables.
  • Maintain organized and complete contract files to support compliance and audit requirements.
  • Assist with other contract administration related tasks as assigned by the legal team.
